The purpose of this position is to provide records management, administrative, and customer service support under the supervision of the City Clerk.
Essential Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
  • Answer incoming calls and provide assistance to the public, including directing inquiries to appropriate City departments or other government agencies as needed.
  • File records, including creating and maintaining color-coded filing systems.
  • Sort and distribute incoming mail for Clerk's Department and Councilmembers.
  • Prepare Council Chambers and conference rooms for Council Meetings.
  • Process accounts payable for the City Council and City Clerk's Department, including requisitions, purchase orders and invoice payments.
  • Provide general administrative support for election-related activities as needed.
  • Assist the City Clerk's Department with records management projects.
  • Order and maintain office supplies for City Clerk's Department.

Minimum Training and Experience Required to Perform Essential Job Functions
  • High school diploma or equivalent
  • Three years municipal clerical experience preferred
  • Proficient with all products in the Microsoft office suite and become proficient, within six months, with departmental or enterprise software packages used by the City of St. Charles
