The Campus Administrator at Patria Church oversees the development, implementation, and ongoing assessment of campus procedures. This role ensures campus operations are aligned, effective, and well supported. The position helps create an environment where ministry can function with excellence and care. The Campus Administrator ensures that procedures align with Patria Church strategic objectives and meet operational and business requirements. This role promotes accountability through clear processes, consistent execution, and documented systems. The Campus Administrator plays a pivotal role in establishing scalable processes that support current ministry needs and future growth. This position is expected to anticipate needs and execute tasks to completion with timeliness. The role provides administrative support to internal teams, volunteers, and external partners. The Campus Administrator represents Patria Church with professionalism and sound judgment in every interaction. This position requires a high level of integrity, trust, and consistent follow-through. The scope of the role will continue to evolve based on ministry needs and the direction of the Campus Pastor. Success in this position is measured by reliability, clear communication, and proactive problem solving. Work Schedule and Daily Rhythm
The Campus Administrator works a part-time rhythm that blends administrative support, coordination, and operational oversight, primarily on weekdays with periodic weekend coverage tied to services and key campus moments. Early in the week focuses on planning, communication, scheduling, and alignment with campus leadership. Midweek centers on administrative execution, coordination with departments and volunteers, record management, and operational follow-through. The end of the week is dedicated to preparation for weekend services, final confirmations, and supporting campus readiness, with flexibility during special events, holidays, and seasonal ministry needs.

Essential Duties and Responsibilities
Models the spirit of Patria Churchs guiding scripture, Ephesians 3:14-15, by building a church community that strengthens families.

Operational Systems and Procedures:
  • Oversee daily administrative operations that support the effective functioning of campus ministries and programs.
  • Develop, implement, and maintain campus procedures that ensure consistency, accountability, and operational clarity.
  • Coordinate with ministry leaders and departments to support smooth workflows and campus readiness.
  • Identify operational needs and implement solutions that improve efficiency and long-term sustainability.

Compliance, Documentation, and Budget Oversight:
  • Manage correspondence, documentation, record keeping, and organized filing systems.

  • Manage budget tracking, expenditures, and requisition processes with accuracy and timeliness.

Scheduling, Communication, and Records:
  • Serve as a primary administrative point of contact for congregants, visitors, vendors, and external partners.
  • Support the planning and coordination of worship services, special services, events, and community outreach efforts.
  • Maintain accurate records for volunteers, services, and events using approved church systems and tools.
  • Provide administrative support to staff, volunteers, and ministry leaders.
  • Answer phone calls professionally and respond to messages within two hours of initial contact.
  • Explain church policies and procedures clearly to support alignment and understanding.

  • Experience coordinating schedules, documentation, and operational processes across multiple stakeholders or departments.
  • Prior experience supporting ministry, nonprofit, education, or service-based organizations preferred.
  • Familiarity with budget tracking, requisitions, or expense monitoring within an organizational setting.
  • Experience supporting events, services, or programs that require coordination before, during, and after execution.
