Office Admin

Immediate need for a talented Office Admin. This is a 12+ months contract opportunity with long-term potential and is located in Irvine, CA (Onsite). Please review the job description below and contact me ASAP if you are interested.

Key Responsibilities:
  • Workplace Strategy & Space Planning Support
  • Support the development and execution of plans for office expansion, workstation transitions, and space optimization
  • Translate defined business requirements and leadership direction into actionable seating and space plans
  • Assist with monitoring space utilization trends and identifying improvement opportunities
  • Construction & Transition Coordination
  • Partner with construction management to support logistics, sequencing, and readiness activities for phased construction impacting the APM business unit and STS functional group.
  • Coordinate move in readiness activities, schedules, and dependencies
  • Support transition close out following each construction phase
  • Seating Coordination & Leadership Support
  • Coordinate office and workstation assignments following each construction phase, aligned to defined criteria
  • Work with functional and site leaders to gather inputs and validate seating plans
  • Resolve routine seating and workspace conflicts; escalate complex or sensitive issues to leadership
  • Building Operations Support
  • Support building management with one off facility issues, and minor projects
  • Serve as a point of contact for workplace related requests and inquiries
  • Seating Administration & Onboarding
  • Maintain and update the master seating assignment list
  • Coordinate printing and placement of nameplates/nametags for new associates and role changes
  • Ensure seating data accuracy and alignment with approved plans
  • Attendance & Utilization Tracking
  • Track on site attendance at both individual and building utilization levels
  • Analyze attendance and utilization data using Excel and standard reporting tools
  • Prepare summaries and reports for management review
