Job description

About the Opportunity

LMK Recruiting has partnered with a growing, dynamic client to find a proactive and detail-oriented Order Management Specialist. In this role, you will be representing our client as the operational heart of their order fulfillment process. The Order Management Specialist is responsible for owning the order lifecycle from receipt through shipment, ensuring every customer order is processed accurately, fulfilled on time, and communicated effectively throughout the organization. This role serves as the operational hub between customers and internal departments, coordinating activities to keep orders moving while delivering an exceptional customer experience. In addition to managing daily order execution, this position is expected to continuously evaluate existing processes and identify opportunities to improve systems, eliminate manual work, standardize workflows, and enhance operational efficiency. The ideal candidate is highly organized, detail-oriented, proactive, and in a fast-paced environment where priorities can change quickly.

Key Responsibilities

  • Validate, process, and track customer orders with high accuracy from receipt through final delivery.
  • Cross-reference orders against active inventory and coordinate with Purchasing to source out-of-stock items on schedule.
  • Collaborate cross-functionally with Purchasing, Warehouse, Configuration, and Shipping teams to maintain smooth fulfillment workflows.
  • Monitor open orders daily to proactively identify and resolve bottlenecks before they impact customer delivery timelines.
  • Maintain complete and precise customer records, order documentation, and status tracking across the order lifecycle.
  • Evaluate existing operational workflows to eliminate manual steps, improve accuracy, and resolve inefficiencies.
  • Develop, maintain, and implement standardized intake templates, including CSV and flat file import formats.
  • Partner with internal stakeholders to automate repetitive tasks, improve data quality, and drive system enhancements.
  • Document new workflows and standardized best practices to ensure operational consistency across all departments.
  • Create, update, and manage product SKUs, attributes, pricing, and inventory master data within internal systems.
  • Work alongside Purchasing and Operations to establish new SKUs for both standard and customized product offerings.
  • Maintain product catalog integrity to enhance order processing accuracy and general operational efficiency.
  • Serve as the primary point of contact for customer inquiries, order modifications, account questions, and status updates.
  • Manage customer expectations professionally and resolve complex operational requests while preserving positive relationships.
  • Act as the central coordinator between customers and internal teams, clearly communicating priorities, deadlines, and special requirements.

Qualifications

  • Exceptional organizational and time-management skills with the ability to manage numerous moving parts simultaneously.
  • Strong attention to detail with an unyielding commitment to order accuracy.
  • Excellent verbal and written communication skills with a confident, professional, and customer-focused approach.
  • Strong critical thinking and problem-solving abilities in a fast-paced environment.
  • Demonstrated ability to identify operational inefficiencies and recommend practical workflow improvements.
  • Advanced proficiency in Microsoft Excel (working with spreadsheets, formulas, and CSV files).
  • Experience working with large SKU catalogs, product master data, and inventory management processes.
  • Ability to review inventory availability and coordinate purchasing activities to meet customer delivery commitments.
  • High adaptability and comfort learning new software systems and evolving business processes.
  • 3+ years of experience in order management, customer operations, logistics, supply chain, fulfillment, or distribution.
  • Experience coordinating directly across Purchasing, Warehouse, Configuration, and Shipping teams.
  • Hands-on experience with ERP, CRM, inventory management, or order management systems.
  • Proven track record of creating standardized workflows, process documentation, and system enhancements.
  • Familiarity with data imports, automation, system integrations, and APIs is a strong plus.

What Success Looks Like in This Role

A successful Order Management Specialist doesn't simply process orders, they take complete ownership of the order lifecycle and continuously look for ways to improve how work gets done. They are proactive, highly organized, and excel at removing obstacles before they impact delivery timelines. Ultimately, success is defined by consistently delivering accurate, on-time orders while driving continuous operational improvement across our client's organization.
