Operations Coordinator
Job Description
The Operations Coordinator provides support for administration, customer service, and production functions, including interaction with both internal and external customers. Duties include analysis of operational data, coordination of meetings and projects, and optimizes organization workflow. This role interacts with a wide variety of departments requires excellent analytical skills, organization, flexibility, the ability to prioritize work, and experience in situations requiring accountability, confidentiality, and professionalism.
Essential Functions
• Analyze operation processes to identify trends, inefficiencies and opportunities for improvement
• Assist with customer support activities including order review, processing and auditing
• Support planning and procurement activities through purchase order, receipt and invoice reconciliation
• Grow organizational development by documenting procedures, training, and reference tools for operational functions
• Align teams and objectives by preparing and documenting meeting agendas, notes and summaries
• Drive projects through task management, status monitoring and team communication
• Coordinate office events, schedule necessary maintenance, and maintain organization calendar
• Manage office appearance, supply stock levels, and document archival systems
Education & Essential Skills
• High school diploma or general education degree (GED); or three to five years related experience and/or training; or equivalent combination of education and experience
• Advanced proficiency with Microsoft Office Suite, SharePoint, Google Apps
• Strong verbal and written communication skills, including the ability to effectively interact with customers
• Problem-solving skills to resolve operational issues
• Highly organized to handle multitasking and support a variety of projects and departments concurrently
• Observe all safety requirements and conduct all duties in a safe and proper manner
Preferred Qualifications
• Knowledge of manufacturing or material fulfillment operations
• Experience with NetSuite, Coupa, SQL, Power BI, Power Query, Adobe Design Suite
Work Environment
Regularly required to work at a desk in an indoor office environment with a moderate noise level. The employee is frequently in a warehouse production environment exposed to fumes, airborne particles, and chemicals. Regularly requires talking, hearing, seeing and often reaching with hands. Regularly requires standing and walking. Regularly requires use of a computer keyboard, mouse, telephone, and other office equipment.
