Job description

We're looking for an Operations Assistantwho enjoys keeping things organized, solving problems, and supporting a busy operation. In this role, you'll play a key part in daily administrative and logistics functions while providing outstanding customer service and helping our team operate safely, efficiently, and effectively.

Pay: $20-$22 per hour

What You'll Do

  • Serve as a key point of contact by providing outstanding customer service in person and over the phone while representing the company in a professional manner.
  • Monitor on-site tank farm operations and support daily terminal activities.
  • Process incoming loads and maintain accurate administrative records.
  • Schedule inbound deliveries for packaged and bulk products.
  • Coordinate LTL (Less Than Truckload) shipments and organize incoming and outgoing mail and deliveries.
  • Prepare transfer tickets for drivers, stage items for transfers and billing, and track driver mileage.
  • Process vendor rebates and prepare reports, including used oil commission reports and backorder reports.
  • Maintain organized electronic and paper filing systems, including correspondence, records, and documentation.
  • Perform a variety of administrative tasks, including data entry, document preparation, filing, copying, and mail distribution.
  • Support the Management Team with administrative needs, special projects, webinars, meetings, and other business initiatives.
  • Follow all company policies, safety procedures, and operational guidelines while contributing to company goals and continuous improvement efforts.

Qualifications

  • High school diploma or equivalent required; administrative or customer service experience preferred.
  • Excellent verbal and written communication skills with strong phone etiquette.
  • Customer-focused with the ability to build positive working relationships.
  • Self-motivated, dependable, and able to work independently while collaborating effectively with a team.
  • Strong organizational, time management, and problem-solving skills with the ability to prioritize multiple tasks and meet deadlines.
  • High level of accuracy and attention to detail.
  • Proficient in Microsoft Office, including Word, Excel, and PowerPoint, with the ability to quickly learn new software applications.
  • Typing speed of approximately 60 words per minute.
  • Professional demeanor with the confidence and maturity to interact with leadership and company executives.
