JOB SUMMARY:
The Office Manager is responsible for operations leadership resulting in improved patient satisfaction, increased clinical and professional revenues, improved staff efficiency and reduced costs. The manager has overall responsibility for day-to-day operations in the West Ashley location.
ESSENTIAL JOB FUNCTIONS (other duties as required):
  1. Ensures "world class" customer service is delivered on a consistent basis as evidenced by company standards and policies.
  2. Provide leadership, direction and coordination of departments relating to patient care.
  3. Responsible for personnel management including selecting and retaining staff; setting
  4. expectations; facilitating development; and evaluating performance.
  5. Manage physicians' and front office staffing schedules as evidenced by physician schedules on NextGen.
  6. Manages 'call center' phone scheduling operations and oversees improvement and implementation of company's scheduling sheet and rules.
  7. Is key resource for the entire West Ashley personnel (including the clinic leads) and is responsible for smooth and efficient daily office operations.
  8. Responsible for clinic workflow, monitoring daily flow and taking corrective action to optimize the patient experience, providing feedback on provider schedule templates to improve flow, and prepares the front and back office staff for any unique situations that may arise.
  9. Conducts regular daily staff huddle meetings and regular staff meetings with front office and clinical teams. Works with the Lead Techs and the Clinical Trainer to address any staff training needs and performance related issues.
  10. Overall responsibility for ensuring the West Ashley Office facilities reflects the level of standards set by the company as evidenced by company standards and policies.
  11. Works in partnership with other Location Leads, Managers and Director of Operations for continued improvement and application of companywide policies and image.

  14. Demonstrates extremely high sense of urgency; capable of handling multiple priorities and extensive demands.

SUPERVISORY RESPONSIBILITIES:
The West Ashley Office Manager carries out supervisory responsibilities in accordance with the organizations policies and applicable laws. Responsibilities include interviewing, hiring and training employees both clinical and front office, planning, assigning and directing work, appraising performance, rewarding and disciplining employees and addressing staff complaints and resolving problems. Responsibilities also include being an expert for all scheduling policies, inclusive of training, optimizing schedules and phone call management and etiquette.
Assists with any patient clinical issues and works towards a satisfactory resolve. Greet patients, company representatives, caretakers & transportation providers. Serve as first level responder for patient questions and complaints. Addresses walk-in patients and respond to scheduling inquiries, prescription/records pick-up, etc. Generate wait time reports and identify solutions to address.
