Position Overview

A.C. Moate Industries is seeking a highly organized Office Assistant to directly support the General Manager and Controller across daily operations.

The ideal candidate is a detail-oriented operator who can manage administrative tasks, maintain organization, and keep critical workflows moving in a fast-paced environment.

You must bring demonstrated experience handling administrative work, staying organized under pressure, and following through without constant direction.

Job Responsibilities


Administrative Support

Provide direct support to the General Manager and Controller
Manage
Handle emails, phone calls, and general office communication
Prepare documents, reports, and internal paperwork


Financial & Operational Support

Assist with data entry, invoicing, and basic accounting tasks
Organize financial documents and maintain accurate records
Support payroll and job costing processes as needed
Ensure documentation is complete and properly filed


Office Operations

Maintain organization of office systems, files, and records
Track tasks, deadlines, and follow-ups for leadership
Coordinate with field and office staff to keep operations aligned
Assist with onboarding paperwork and employee documentation


Organization & Execution

Prioritize tasks based on urgency and importance
Ensure nothing falls through the cracks
Follow through on assignments without constant oversight
Maintain a high level of accuracy and attention to detail


Job Requirements

Minimum 13 years of experience in an administrative or office support role
