This role is paid on an hourly basis with a range of $37.50 โ€“ $44.23 and is eligible for overtime in accordance with applicable laws. The expected approximate annualized compensation range is $78,000.00โ€“$91,998.40.

Summary of the Role

The Office Manager, is responsible for the daily front desk presence, employee support, office coordination, mailroom oversight, and engagement activities for the Kent, WA office. This position serves as the primary point of contact for employees, visitors, vendors, and guests, helping ensure the office is welcoming, organized, and operating effectively. The role may supervise a future facilities support position if one is added to the Kent office. You may assist on other project activities in the support of other functions (i.e., Civil Operations, Human Resources, Marketing, Talent Acquisition, etc.). This is a fully in-office role based out of our Kent, WA office and is scheduled from 8:00am โ€“ 4:30pm PST.

Responsibilities

  • Serve as the primary front desk representative for the Kent office, greeting employees, visitors, vendors, and guests in a professional and welcoming manner.
  • Responsible for opening and closing the office each business day, ensuring the workspace is secured, equipment is powered on/off as required, and the office is prepared for employees and visitors.
  • Responsible for answering and directing incoming phone calls in a professional and timely manner, providing general information as appropriate, and ensuring calls are routed to the correct individual or department.
  • Provide day-to-day office support to the Kent workforce, including responding to general office needs, coordinating visitor access, and maintaining an organized reception area.
  • Plan and coordinate Kent office events, engagement activities, travel, meetings/interviews, celebrations, and workplace gatherings in collaboration with Human Resources and Marketing.
  • Oversee current mailroom operations, including incoming and outgoing mail, package handling, shipping, receiving, courier coordination, and related tracking.
  • Coordinate office-service support for AEC (architecture, engineering, construction deliverables, including document handling, reproduction coordination, shipment preparation, and delivery-related needs.
  • Provide day-to-day direction to the individual supporting mailroom operations.
  • Monitor office supplies, shared resources, breakrooms, conference rooms, and common areas to ensure the office remains stocked, organized, and functional.
  • Coordinate routine office and facilities-related requests, including vendor visits, maintenance needs, deliveries, and workplace support matters.
  • Supervise a future facilities support position if added, including work coordination, prioritization, and general performance support.
  • Maintain organized records related to office services, mailroom activity, shipping and receiving, engagement activities, vendor coordination, and general office operations.
  • Identify and recommend improvements to front desk processes, office services, mailroom operations, and the overall Kent office experience.
  • Communicate regularly with your direct report regarding office needs, service issues, staffing coordination, and operational priorities.
  • Responsible for coordinating courier deliveries as needed, including transporting and delivering documents, packages, and other materials between offices, job sites, and external locations.
  • Perform other duties as assigned.

Qualifications

  • High school diploma, G.E.D equivalent, or an associate degree
  • Notary Public Certification (preferred)
  • 5-10 years of experience in office administration, office management, front desk operations, employee support, facilities coordination, mailroom operations, or a related office services role preferred.
  • Prior experience working within an architecture, engineering, construction, interior design, energy, or professional services environment preferred.
  • Experience coordinating office events, employee engagement activities, meetings, or workplace gatherings preferred.
  • Prior experience providing day-to-day direction or supervision to administrative, mailroom, facilities, or office support staff preferred.
  • Experience coordinating vendors, shipping and receiving, office supplies, workplace requests, or general office operations preferred.
  • Computer and Microsoft Office proficiency.
  • Ability to use standard office equipment, including computers, phones, printers, copiers, scanners, postage equipment, and related office tools.

This is a fully in-office role based out of our Kent, WA office and is scheduled from 8:00am โ€“ 4:30pm PST.
