Job description

Office Manager/Accounting

This is a fast-paced role, and requires a positive person who can learn and retain how our processes work and is willing to help us improve these processes. Being able to stay focused and motivated to support the team and our customers is key. We are willing to teach and coach. We are simply looking for someone who fits our culture with the ability and willingness to learn.

Required functions:

Professionally & courteously handle client inquiries via phone and email  

Schedule appointments for Sales Staff, Customers & Sub Contractors

Manage and Maintain JobNimbus CRM & Outlook calendar

Accounts Payable/Accounts Receivable (5 years’ experience Minimum Preferred)

Sales and Administrative support for our Sales Team & Owner

Manage & schedule current office staff (1) & project/warehouse manager (1)

Order required reports i.e.: Eagleview, Hover & Roof Scope

Generate CRM reports 

In office meeting preparation   

Maintain office operations i.e.: filing, mail, office supplies

 ACCOUNTING DUTIES INCLUDE:

  • Manage and process invoicing, accounts receivable, and accounts payable.
  • Processing credit card payments
  • Investigate any spending variances and make sure employees adhere to company spending policy.
  • Generating financial and operational reports in Quickbooks & Excel
  • Maintain vendor information including w-9 and 1099 status.
  • Assist with year-end 1099 processing and year-end tax packages
  • Diligent Communication/Coordination with Bookkeeper & Owner-Manager

The best candidate:

-Construction industry knowledge & experience (3 years minimum experience required)

- Advanced QuickBooks Skills

- CRM experience, 2 years minimum experience required. JobNimbus is a plus!

-Must have experience in customer service and scheduling

-Must have experience in administrative support role

-Must have strong interpersonal customer service skills

-Must have excellent organizational skills, thorough and accurate with attention to detail
-Must have the ability to work individually and as a team

-Must be a self-starter, motivated employee who can work without supervision.
-Must be proficient in MS Office Suite (Primarily Excel and Word)
-Must have strong decision-making skills
-Must have excellent written, verbal and analytical skills
-Must be able to respond to common inquiries or complaints from customers, vendors, and partners  

-A professional demeanor and punctuality

This is a full-time position Monday-Friday. Masters provides a medical, dental and vision.

 401k Plan, with 4% Company Match. Other performance incentive may be available.

Compensation: $20 - $25 Hour
