Job description

At JTM Construction, the role of the Office Administrator is the first point of contact for the company, manages and coordinates the needs and activities of the main office, and performs a variety of administrative tasks for executives and managers. The Office Administrator must be able to perform job duties in a timely manner, have a professional attitude and appearance, be organized, and possess the ability to communicate both verbally and in writing. This position must be highly focused on internal and external customer service.
Qualified candidates will have prior experience in the construction industry and be competent in Microsoft applications, including Word, Excel, and Outlook. This a full time, non-exempt role and the full salary range is $60,000 - $90,000, depending on direct professional experience and qualifications. The bonus target for this role is 3%-10% of annual base earnings.
RESPONSIBILITIES
  • Promptly greet and welcome guests
  • Answer, screen, and forward incoming phone calls
  • Ensure reception, kitchen, workrooms, and conference rooms are tidy and presentable
  • Manage office maintenance vendors and related budget
  • Receive, sort, and distribute daily mail/deliveries and prepare outgoing mail/deliveries
  • Maintain various corporate calendars (industry events, office events, conference room, etc.)
  • Assist employees with scheduling meetings and events
  • Perform administrative duties in support of other office staff and project teams as needed
  • Ordering and stocking of main office supplies, including kitchen
  • Support onboarding and employee appreciation efforts.
  • Maintain cooperative working relationships with vendors and project teams
  • Establish priorities to complete work in a timely manner despite changes in workload, assignment, or competing requirements
  • Provide backup to executive assistant as necessary
  • Other duties as assigned

REQUIRED SKILLS AND QUALIFICATIONS
  • Professional in nature and appearance with exceptional customer service skills
  • Minimum of three (3) years of experience in front office, reception, and/or administrative assistant role(s)
  • Experience in the construction industry is preferred
  • Ability to perform job duties despite frequent interruptions and distractions
  • Above average ability in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook
  • Excellent written and verbal communication skills
  • Self-starter and team player
  • Knowledge of basic accounting and job costing principles a plus
  • Valid Washington State driver's license with the ability to provide proof of a clean driving record
  • Able to pass a pre-employment drug screening and a criminal background check
