Secretarial/Clerical/Secretary / Administrative Assistant
  

Holy Rosary Bilingual Academy in Fife, WA is seeking a full-time Advancement Coordinator/Secretary. 

This position serves as a key point of contact for our school community and plays a critical role in advancing the school's mission through strategic fundraising, donor engagement, and strong front office operations. The Advancement Coordinator/Secretary is often the first impression of the school and must welcome all students, families, and visitors with warmth, professionalism, and a spirit of service.

Primary Responsibilities:

  1. Supports and upholds the mission of Holy Rosary Bilingual Academy in forming saints and scholars through faith, language, and service
  2. Serves as a primary front office presence during designated hours, providing courteous and professional support to families, students, and visitors
  3. Leads the coordination and execution of school-wide fundraising efforts, including the annual auction and other advancement initiatives
  4. Actively supports the growth of fundraising capacity through donor communication, alumni engagement, and stewardship efforts
  5. Assists in building and maintaining relationships with donors, alumni, and community supporters to strengthen long-term financial sustainability
  6. Tracks and supports fundraising activities, ensuring timely follow-up, acknowledgments, and organization of donor information
  7. Maintains current student enrollment records, ensuring all required paperwork is complete, accurate, and up to date
  8. Supports current families with forms, documentation, and general school processes
  9. Assists with school-wide communications, correspondence, and office coordination
  10. Supports day-to-day administrative operations, including phones, scheduling, and general office tasks
  11. Coordinates with other secretaries to complete office duties.
  12. Collaborates with the principal and staff to support school events and community engagement efforts

Qualifications:

• Practicing Catholic preferred
• Proficient in Microsoft Office and Google Suite
• Strong organizational and time management skills
• Demonstrates professionalism, attention to detail, and the ability to manage multiple responsibilities
• Strong interpersonal skills with the ability to build relationships with families, donors, and community members
• Welcoming, collaborative, and service-oriented approach to working with families and staff
• Experience in a school or office setting preferred
• Bilingual (English/Spanish) preferred
