Work Schedule: 8:30am to 1:30pm MTWT with Fridays being alternated.

You'll be a key point of contact for office operations, administrative support, facilities coordination, and executive scheduling while helping ensure our team has everything they need to be productive and successful.

What You'll Do
Administrative Support
  • Provide day-to-day administrative support across teams
  • Assist with scheduling monthly meetings, executive visits to HQ
  • Coordinate conference room bookings and office events
  • Assist with document preparation, company newsletter and correspondence
  • Handle incoming mail, packages, and office communications
  • Assist the HR team for month end expenses vs budget
  • Assist CEO if necessary with scheduling/tasks

Office & Facilities Coordination
  • Serve as the primary point of contact for building management and vendors
  • Coordinate office maintenance requests and facility-related needs
  • Ensure office spaces, meeting rooms, and common areas remain organized and functional

Employee Experience & Office Services
  • Manage parking assignments and parking-related requests
  • Administer ORCA card distribution and tracking
  • Coordinate lunch orders, catering, and team events
  • Monitor and replenish office snacks, beverages, and kitchen supplies
  • Welcome visitors and help create a positive office environment
  • Manage bi-weekly office orders via business accounts (Costco, Amazon)

What We're Looking For
  • 1-3 years of administrative, office coordination, or customer service experience
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal skills
  • Ability to manage multiple priorities and adapt to changing needs
