About the Role:
Royal Palm Beach Medical Group LLC/Hellocare Medical Group is looking for a motivated and organized Office Manager to keep our medical practice running smoothly and efficiently. This is a fantastic opportunity to play a key leadership role in a dynamic healthcare environment where your contributions directly impact patient experience and staff success.

Responsibilities:
  • Oversee daily front and back office operations to ensure a seamless patient experience
  • Manage scheduling, staffing, and coordination of administrative and clinical support teams
  • Handle billing, insurance verification, and medical records compliance
  • Maintain HIPAA compliance and ensure adherence to healthcare regulations and policies
  • Manage vendor relationships, office supplies, and facility needs
  • Resolve patient concerns and escalate issues as appropriate
  • Prepare reports and assist leadership with budgeting and operational planning
  • Support the organization’s participation in ACO, HEDIS, Medicare Advantage, and other value-based care programs.
  • Work with providers and staff to improve clinical quality measures and close patient care gaps.
  • Monitor measures such as annual wellness visits, cancer screenings, diabetes care, blood pressure control, medication adherence, immunizations, and post-discharge follow-up.
  • Develop patient outreach processes for overdue appointments, preventive screenings, and chronic-care follow-up.
Requirements:
  • 3+ years of office management experience, preferably in a medical or healthcare setting
  • Familiarity with medical billing, coding, and insurance processes
  • Strong knowledge of HIPAA regulations and healthcare compliance standards
  • Proficiency with Electronic Health Records (EHR) and practice management software
  • Excellent communication, leadership, and problem-solving skills
  • Highly organized with the ability to multitask in a fast-paced environment
  • Associate's or Bachelor's degree in Healthcare Administration or related field preferred
