Job description

The Accounting Specialist will support the Finance & Accounting Department by managing client payments and billing in MyCase, facilitating transfers between trust and operating accounts, collecting immigration fees, and performing various accounting tasks as needed. The ideal candidate brings hands-on experience with invoicing, reconciliations, and financial reporting, is proficient in QuickBooks and Excel, and is bilingual in English and Spanish. We are looking for someone detail-oriented, adaptable, and committed to providing excellent support to the legal team.
Key Responsibilities
  • Prepare and generate client bills in MyCase for legal work performed, based on time entries and services logged on each matter.
  • Transfer earned fees from trust to operating accounts in MyCase consistent with trust accounting requirements.
  • Process and reconcile client payments accurately and efficiently.
  • Reconcile billing and payment activity between MyCase and QuickBooks.
  • Process vendor invoices accurately, ensuring proper coding, approvals, and compliance.
  • Generate and distribute invoices in accordance with contracts, billing schedules, and firm requirements.
  • Perform monthly bank, credit card, and general ledger reconciliations, researching and resolving discrepancies promptly.
  • Collect and organize immigration fees as required by the legal team.
  • Maintain accurate and up-to-date financial records and filing systems.
  • Support month-end and year-end close processes.
  • Prepare and contribute to financial reports and variance analysis as needed.
  • Ensure compliance with federal, state, and company policies, procedures, and regulations.
  • Perform ad-hoc tasks and projects related to the Finance & Accounting Department as needed.

Essential Criteria
  • Education
    • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
    • Alternatively, an Associate's degree with substantial relevant work experience may be considered.
    Experience
    • 3-5 years of experience in an accounting, finance, or operations role with direct responsibility for invoicing, billing, and reconciliations.
    • Experience processing accounts payable and/or accounts receivable.
    • Experience preparing financial reports, performing reconciliations, and resolving discrepancies.
    • Background supporting office operations with financial documentation responsibilities is a plus.
    Technical Skills
    • Proficiency in QuickBooks (entries, reconciliations, AP/AR, and reporting).
    • Advanced Microsoft Excel skills - including VLOOKUP, pivot tables, macros, and formulas.
    • Familiarity with Oracle, Power BI, or similar financial reporting tools is a plus.
    • Familiarity with MyCase or a comparable legal billing and practice management system is a plus.
    • Strong understanding of accounting principles, financial reporting, and general ledger management.
    Soft Skills
    • Strong attention to detail and accuracy in financial record-keeping.
    • Excellent organizational and time management skills.
    • Effective written and verbal communication with clients, vendors, and internal staff.
    • Ability to work independently and as part of a team.
    • Problem-solving ability and a proactive approach to identifying and resolving issues.
    • Adaptability and willingness to learn firm-specific tools and processes.
    Language Skills
    • Fluent in English and Spanish - verbal and written - required.
    • Additional language skills relevant to the firm's client base are a plus.
    Legal Compliance
    • Knowledge of, or willingness to learn, legal industry-specific regulations and compliance requirements, including trust accounting standards.
