Job description

POSITION OVERVIEW

The Executive Assistant – Legal and Business Development supports the Executive Vice President and General Counsel along with the Business Development Manager, working closely with our operations and administrative teams. This role is responsible for providing executive-level support, including managing documents and contracts, assisting with various projects, managing complex schedules and communications, and supporting other legal, real estate, and business-related transactions.

ESSENTIAL FUNCTIONS

Legal and Business Development Support:

  • Manage and maintain legal contracts, including real estate purchase agreements.
  • Prepare site review packages for new development, purchase agreement summaries and manage all deadlines and lease expiration dates.
  • Research competitors including, tuition and wage rates and mobile analytics.
  • Prepare and assist with legal communications.
  • Prepare and maintain lease summaries, amendments, etc.
  • Assist with real estate and lending transactions.

General Administrative Support:

  • Electronic file management (Laserfiche).
  • Update projects in electronic databases (Site Zeus and Buxton) and manage status changes.
  • Complex scheduling and calendar management.
  • Meeting preparation and participation as needed.
  • Reconcile expense reports.
  • General administrative assistance to executives, operations team members, and school leadership teams as needed.
  • Provide timely customer service to prospective and enrolled families when needed.

QUALIFICATIONS

  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) required; experience with SharePoint, Buxton, Site Zeus preferred.
  • Excellent interpersonal and written communication skills; ability to produce professional communication with accuracy.
  • Self-starter; takes the initiative to improve processes and anticipate needs.
  • Exceptional attention to detail and organizational skills, with the ability to manage multiple priorities and deadlines effectively.
  • Ability to work well in a fast-paced environment.
  • Maintains a high level of confidentiality and integrity.
  • Associate degree required; bachelor’s degree, paralegal certificate and experience in the childcare industry preferred.
