Job description

Our busy immigration law firm is looking for an efficient, organized legal administrative assistant to help our attorneys and paralegals assist clients and ensure we’re operating efficiently. You’ll assist with the preparation of legal documents, handle legal correspondence, and assist the team in meeting deadlines. If you have experience in a law firm environment, work well under pressure, and are looking for a rewarding opportunity in the legal immigration field, we want to connect with you.

Compensation:

$52,000 - $58,000


Responsibilities:

Client Support

  • Complete legal tasks assigned by paralegals and attorneys promptly
  • Meet with clients at the office to receive documents and to conduct meetings as requested by attorneys and paralegals. 
  • Receive emails, telephone communication, and meetings from clients and promptly provide service and answer questions. 
  • If you are not able to answer questions immediately, provide immediate acknowledgement of the email/call and communicate a plan for following up with the client.

Open File Organization

  • Maintain open paper and electronic client files in an organized system. 
  • With Front Office Manager, organize legal offices and storage/printer offices. 

Case Production

  • Meet deadlines set by paralegals for task completion
  • Complete legal tasks assigned by paralegals and attorneys promptly, including:
  • Submit records requests to government agencies
  • Communicated with clients to follow up on any questions/requests that the legal team has made
  • Schedule signature meetings and other preparatory meetings with clients
  • Assemble final packets and update drafted forms and documents.
  • Assist with the scanning, copying, printing, and mailing of documents. 

Submission Finalization

  • Conduct detailed, accurate, and timely “Blue Sheet” reviews in order to assist with the final submission of applications or “Blue Sheets.”  
  • Meet deadlines set by paralegals for task completion
  • Schedule a FedEx pickup of submissions
  • Deliver packages to FedEx and USPS

Scheduling:

  • Schedule client meetings with paralegals and attorneys

Case Closure (duty shared alternatively with other In-Person Legal Assistant)

  • On a weekly basis, work with the Legal Team to determine cases to close, and close those cases within 2 weeks of the request to close

Front Desk

  • Cover the front desk as needed when the Front Office Manager is out of the office

Anything else needed to maintain quality, client support, and firm profitability


Qualifications:
  • High school diploma or equivalent is required; an associate’s degree is a plus
  • Candidates should have strong organizational and communication skills
  • Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment
  • Minimum 1-2 years of experience in a law firm or office environment as an administrative assistant or secretary
  • Bilingual in at least one non-English language
