Job description

Businesses are increasingly embracing responsible commercial practices, including environmental, social and governance (ESG) issues for a sustainable future. As market forces around this topic escalate, our clients face a rapidly evolving and fragmented reporting and regulatory landscape. Due diligence obligations require greater scrutiny and transparency of supply chains, and strategy needs to consider legal accountability and stakeholder engagement. Our Sustainability & Responsible Business Practice draws on the experience of lawyers across the Firm in practices that include Environment & Climate Change, Business & Human Rights, Public Company Advisory, Antitrust/Competition, International Trade, Energy Transition and Debt Finance. Together, we help companies, financial institutions, sovereigns, investors and other stakeholders address these challenges while maximizing long-term economic stability and growth.

The Pro Bono Assistant provides critical support to the Pro Bono Team by supporting the coordination of the Firm's global pro bono practice initiatives. This role is integral to the circulation and staffing of pro bono matters and the project management of substantial global research projects. Additionally, the assistant supports the pro bono assignment initiatives for summer and new associates and contributes significantly to the successful execution of the Pro Bono Team's most prominent annual campaigns: Global Pro Bono Week and the White & Case Pro Bono Awards.

The roles and responsibilities of this job include:

General administrative support

  • Distribute new case lists and help recruit partners and lawyers on pro bono matters
  • Create staffing trackers and maintain lawyer pro bono interest database
  • Maintain Pro Bono Leader and Champion databases
  • Assist in updating Pro Bono intranet page, Paladin pro bono management software, and various pro bono tracking tools
  • Organizing, labeling, and distributing 20-Hour Pro Bono Stars monthly
  • Track engagement letters and maintain engagement letter filing system
  • Facilitate the opening of new pro bono matters and support team members in tracking new matter process globally
  • Facilitate communication with lawyers handling matters to collect needed information to run conflicts and open new matters
  • Track attorney departures and ensure matters are closed or reassigned.

External Relationships

  • Support Pro Bono Team members in responding to external pro bono surveys on behalf of the Firm (PBI, AmLaw, TrustLaw, NALP, Law.com, etc.)
  • Help maintain billable client collaboration database and materials
  • Maintain external mailing lists
  • Provide support in responding to external audits and requests for case and client-specific information
  • Handle due diligence research on potential pro bono clients


Communications, Awards & Events

  • Help execute Global Pro Bono Week and White & Case Pro Bono Awards
  • Help prepare PowerPoint presentations for the Global Practice Leader, Pro Bono Leaders, Pro Bono Counsel & Director, Associate Director of Pro Bono, Pro Bono Managers, others as requested
  • Help organize and coordinate pro bono events and award ceremonies
  • Assist with ad hoc administrative projects such as preparing external reports and internal communications
  • Assist with event planning, coordination, and execution

Qualifications

  • BA or BS
  • Minimum of two (2) years of relevant administration experience
  • Knowledge of pro bono
  • Experience working with community organizations and/or nonprofits is a plus
  • Strong organizational skills
  • Strong track record of execution and results
  • Excellent written and oral communications
  • Strong interpersonal skills and ability to work with team members on different projects
  • Mastery of Microsoft Office suite (Excel, PowerPoint, Teams, Word)
