Job description

Job Type: Contract 6+ months with possible extension

Position type: Part-Time (30 hours per week)

Reporting Relationship

  • The Paralegal/Labor Relations Assistant reports directly to the Manager, Labor Relations in the Human Resources Department.
  • Role Summary
    The Paralegal provides legal, administrative, and research support to the Manager, Labor Relations. Day-to-day responsibilities may include assistance with collective bargaining, grievance administration, arbitration preparation, labor-related investigations, and compliance activities. The role also interfaces with the Office of General Counsel as assigned by the Labor Manager.

Primary Duties and Responsibilities
Labor Relations/ Legal Support

  • Support the Labor Relations Specialist in the administration of labor and employment matters, including grievances, arbitrations, investigations, and contract administration.
  • Coordinate the collection, review, and production of documents—both electronic and physical.
    Perform labor-related and legal research; analyze issues; and prepare draft documents under the direction of the Labor Relations Specialist.
  • Assist with intake, tracking, and documentation of complaints, claims, grievances, and labor matters, including monitoring response timelines and organizing supporting materials.
  • Prepare documents and materials to support College representatives in arbitration, mediation, and other legal, quasi-legal, or administrative proceedings related to labor relations.
  • Assist in preparing materials, evidence, and summaries for use by the General Counsel in legal proceedings or advisory matters related to labor relations.

Records, Knowledge & Information Management

  • Serve as a knowledge manager for labor and legal data, correspondence, matter files, reports, and documentation.
  • Create, maintain, and manage confidential records using College-approved software platforms.
  • Maintain accurate filing, tracking, and retention of records in accordance with College policies and legal requirements.

Meeting & Process Support

  • Prepare agendas and materials for labor-related meetings; attend meetings and take detailed notes.
  • Coordinate and schedule meetings
  • Track action items and follow-ups to ensure procedural consistency and timely completion.
  • Note-taking during meetings

Minimum Required Knowledge, Skills, and Abilities

  • Paralegal/Legal Assistant certificate from an ABA-accredited program, or an Associate Degree in Paralegal/Legal Assistant Studies, or Five (5) years of experience
  • Three (3) years of experience as a paralegal or legal assistant in a law office or in-house legal counsel setting, preferably involving labor or employment law
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel) and Google Workspace
  • Demonstrated experience handling highly confidential and sensitive information
  • Strong ability to draft high-quality legal documents, including contracts, pleadings, memoranda, affidavits, and correspondence
  • Ability to analyze, abstract, and summarize complex contracts, CBAs, and legal documents
  • Excellent organizational, time-management, and written and oral communication skills
  • Demonstrated knowledge of electronic and paper-based filing and record-tracking systems
  • Strong research, analytical, and problem-solving skills with exceptional attention to detail.
