JOB PURPOSE:
The Medical Practice Operations Manager is responsible for the overall operational, administrative, and financial performance of the medical practice. This role ensures efficient daily operations, regulatory compliance, staff supervision, patient satisfaction, and alignment with organizational goals. The Manager collaborates closely with physicians, clinical leadership, and corporate departments to support high-quality patient care and operational excellence.
JOB RESPONSIBILITIES:
- Oversee the daily operations of the medical practice to ensure efficient and effective service delivery
- Develop and implement operational workflows to improve efficiency and patient experience
- Monitor clinic performance metrics and identify opportunities for improvement
- Ensure proper staffing levels and operational coverage
- Address operational issues and resolve escalated concerns from staff, providers, and patients
- Oversee front desk, scheduling, and administrative functions
- Ensure smooth coordination between clinical and administrative teams
- Provide coaching, guidance, and performance management to staff
- Conduct performance evaluations and provide feedback
- Collaborate with Human Resources on hiring, onboarding, discipline, and employee relations matters
- Ensure staff adherence to organizational policies and procedures
- Ensure compliance with federal, state, and local healthcare regulations
- Maintain compliance with HIPAA and patient privacy requirements
- Prepare for audits and regulatory reviews (DOH, CMS, accreditation, etc.)
- Develop and maintain proper documentation and operational standards
- Monitor patient satisfaction and service quality
- Address patient complaints and escalated issues
- Ensure professional and welcoming environment for patients and visitors
- Serve as primary administrative liaison for physicians and clinical leadership
- Coordinate provider schedules and operational needs
- Support onboarding of new providers
- Develop and maintain strategic relationships with physicians, health plans, hospitals, and other healthcare providers to strengthen the practice's referral network and support growth initiatives.
- Collaborate with leadership to support the negotiation and implementation of contracts and service agreements with healthcare organizations, insurance companies, and other entities to expand referral partnerships and enhance access to services.
- Participate in operational planning and practice growth initiatives
- Monitor operational performance and report to leadership
- Support organizational initiatives and projects
Schedule: 8:30AM - 5:30PM

QUALIFICATIONS:
Education: Bachelor's degree in Healthcare Administration, Business Administration, or a related field; master's degree preferred.
Experience:
- 5+ years of combined experience in healthcare practice and vendor management administration, with a focus on negotiation, implementation, credentials and enrollment of contracts and service agreements with healthcare organizations and insurance companies.
- Proven experience in setting up and managing healthcare practices, preferably outpatient facilities.
- Strong understanding of healthcare regulations, compliance standards,
and industry best practices.
- Demonstrated ability to build and manage relationships with physicians, healthcare networks, and external partners.
- Exceptional organizational, communication, and leadership skills.
- Proficiency in healthcare management software and Microsoft Office Suite.
Physical Requirements
Individuals must be able to sustain certain physical requirements essential to the job. This includes, but is not limited to:
- Standing - Duration of up to 6 hours a day.
- Sitting/Stationary positions - Sedentary position in duration of up to 6-8 hours a day for consecutive hours/periods.
- Lifting/Push/Pull - Up to 50 pounds of equipment, baggage, supplies, and other items used in the scope of the job using OSHA guidelines, etc.
- Bending/Squatting - Have to be able to safely bend or squat to perform the essential functions under the scope of the job.
- Stairs/Steps/Walking/Climbing - Must be able to safely maneuver stairs, climb up/down, and walk to access work areas.
- Agility/Fine Motor Skills - Must demonstrate agility and fine motor skills to operate and activate equipment, devices, instruments, and tools to complete essential job functions (ie. typing, use of supplies, equipment, etc.)
- Sight/Visual Requirements - Must be able to visually read documentation, papers, orders, signs, etc., and type/write documentation, etc. with accuracy.
- Audio Hearing and Motor Skills (language) Requirements - Must be able to listen attentively and document information from patients, community members, co-workers, clients, providers, etc., and intake information through audio processing with accuracy. In addition, they must be able to speak comfortably and clearly with language motor skills for customers to understand the individual.
- Cognitive Ability - Must be able to demonstrate good decision-making, reasonableness, cognitive ability, rational processing, and analysis to satisfy essential functions of the job.

Salary Range (Min-Max):
$130,000.00 - $140,000.00
