Job description

This is a Non-Employee Contingent Worker Role providing services for TIAA's family of companies and will be employed by TIAA's preferred 3rd Party Supplier. As a Non-Employee CW, perform a variety of moderately complex business planning, support, and project-related duties. Senior Client Reporting Specialist
The Senior Client Reporting Specialist partners with associates in Distribution and Relationship Management to service Institutional and High Net Worth clients investing in the company's products. Under general supervision, the role frequently communicates with clients and focuses on onboarding new client accounts, delivering reports to clients, and working with business partners to service client needs throughout the client lifecycle. This role collaborates closely with teams across the enterprise to deliver an outstanding client experience.
Key Responsibilities and Duties
  • Manages inbound/outbound client communication (emails and phone calls) via the customer relationship management system.
  • Works with internal business partners to gather and personalize documents for client onboarding.
  • Helps with the preparation of reports and other materials for client meetings and attend meetings as needed.
  • Generates a large volume of custom quarterly reports to clients, consultants and service providers.
  • Provides quality control for client reports and requests to ensure accuracy and completeness.
  • Completes due diligence and client questionnaires.
  • Provides database maintenance and compilation of business metrics.
  • Investigates and addresses client inquiries by evaluating client-specific circumstances and collaborating across departments to formulate response and communicate findings to the relationship manager.
  • Serves as point of escalation for complex issues involving client experience.

As the Client Reporting Associate, you will be a key member of the Client Service and Reporting Team providing the necessary support to achieve all aspects related to client service excellence. Your role is highly focused on the execution of client reporting, produced timely and accurately and assists in materials production. The Client Reporting Associate supports members of the client engagement team and reports to the Senior Client Reporting Specialist.
Responsibilities:
  • Responsible for reporting and client engagement team support with a high level of verbal and written communication skills and high attention to detail and accuracy
  • Stay current with knowledge of automation systems and processes, performance reporting trends, technologies and best practices
  • Explore new approaches to increase efficiency and improve processes without sacrificing quality
  • Prepare ad hoc reports and assist in the completion of reporting projects, as assigned
  • Assist in task management regarding projects requiring participation by multiple people
  • Assist in preparation and execution of monthly client reporting requirements with attention to accuracy and timeliness
  • Prepare and execute quarterly client reporting decks, factsheets and versions/variations with consistency, creativity, accuracy and expediency
  • Work with parent company and partners on other branded versions of all decks/materials
  • Provide proofreading support and data quality control during quarter-end update cycles and as requested
  • Support record retention of all client communications and marketing materials according to business practice
  • Ensure all materials adhere to established design and data integrity standards
  • Prepare meeting materials including customization, printing, binding and shipping
  • Provide administrative support to client engagement team and act as backup for client requests and inquiries
  • Solicit or procure background data for questionnaires and other client reporting from portfolio accounting systems and external databases
  • Develop expertise in Winslow Capital's strategies and their investment vehicles as well as data and the process for accessing data from various providers throughout the Firm
  • Build strong internal working relationships and communicate regularly about projects within Client Service and Marketing, Portfolio Administration and Compliance, as well as various departments within parent company Nuveen/TIAA when necessary
  • Maintain, update and produce contact lists for internal audiences from CRM system
  • Prepare reports and dashboards via CRM system
  • Assist in marketing and client service-related projects involving CRM analysis

Qualifications:
Required
  • Bachelor's degree from an accredited four-year university or college preferred, or equivalent work experience
  • Minimum six months to two years of experience in client service, operations, sales or portfolio management support

Desired
  • Experience in business-related disciplines such as marketing, finance or economics is preferred
  • Experience in a similar capacity within a leading asset management organization and/or investment industry is preferred
  • Strong attention to detail and problem-solving skills
  • Strong oral, written and visual communication skills
  • Self-starter that can work both independently and collaboratively with teams
  • Ability to prioritize and manage multiple projects independently and simultaneously, meet deadlines and adapt to changing priorities and timelines
  • Understanding of analytics and markets/economy is preferred
  • Proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator, Creative Cloud), Microsoft Office (Word, Excel, PowerPoint, Outlook) and other collaboration sites.
  • CRM system software knowledge a plus (Salesforce)
