Job description

Immediate need for a talented Mail & Print Services Assistant. This is a 03+ Months Contract opportunity with long-term potential and is located in New York, NY (Onsite). Please review the job description below and contact me ASAP if you are interested.

Pay Range: $28 - $32/hour.  Employee benefits include, but are not limited to, health insurance (medical, dental, vision), 401(k) plan, and paid sick leave (depending on work location).
 
Key Responsibilities:

  • As a Mail & Print Services Assistant, you will be responsible for all aspects of the mailroom operations for a building or campus.
  • Supervise and actively support personnel across all mailroom and shipping and receiving functions. Set work schedules, assign tasks and cross-train staff to ensure full operational coverage, including during high-volume event periods and seasonal activations.
  • Oversee the receipt, handling, logging and dispatch of apparel samples, seasonal product, confidential materials and VIP items. Maintain a secure and clearly documented chain of custody for all inbound and outbound shipments at all times.
  • Manage high-volume event product flows in a fast-paced environment, ensuring accurate intake, secure storage and timely distribution. Coordinate logistics for high-profile activations with the professionalism and discretion the client requires.
  • Maintain and enforce mailroom policies and procedural manuals, including protocols for confidential and high-value items. Communicate updates clearly to all team members and drive consistent compliance.
  • Operate and oversee shipping and tracking platforms including UPS, FedEx, USPS, PS Tracks, Ricoh, Pitney Bowes and related mail and package systems. Ensure all team members are trained and proficient on applicable platforms.
  • Resolve operational issues quickly and decisively. Identify root causes, implement corrective actions and communicate outcomes to relevant stakeholders without delay.
  • Develop and refine techniques that improve throughput, accuracy and security, particularly during peak periods and event-driven surges.
  • Maintain cost records by department, implement cost-saving measures and report on operational efficiency with accuracy and transparency.
  • Ensure all work output reflects the highest standards of organization, confidentiality and client service. Uphold the client''s maxims in every interaction.

Key Requirements and Technology Experience:

  • High School Diploma or GED with five or more years of job-related experience.
  • Prior supervisory or shift manager experience required.
  • Experience in a high-volume mailroom, shipping operation or logistics environment strongly preferred.
  • Working knowledge of mailroom and shipping operations, including intake protocols, chain-of-custody practices and handling procedures for confidential and high-value items.
  • Demonstrated ability to manage sensitive information with discretion and maintain confidentiality under pressure.
  • Proficient in Microsoft Office (Word, Excel, Outlook, Teams), Slack, Zoom and Box.
  • Familiarity with UPS, FedEx, USPS, PS Tracks, Ricoh, Pitney Bowes and other mail and package management systems.
  • Exceptional organizational skills with the ability to prioritize, adapt and execute in a high-paced, high-stakes environment.
  • Motivated, hands-on and committed to team and client success.
