Summary:
The Assistant Manager oversees all day-to-day operations of the Mail Center and Loading Dock for a fast-paced production environment. This role is responsible for managing a team of nine full-time employees, ensuring timely and accurate mail processing, package distribution, shipping/receiving, and dock operations. The manager will drive service excellence, operational efficiency, safety compliance, and strong client relationships across the facility.
Responsibilities:
  • Support the Site Manager in overseeing all day-to-day operations of the Mail Center, ensuring timely and accurate processing of inbound and outbound mail, parcels, and courier activity
  • Assist in supervising a team of full-time employees, providing daily direction, workflow coordination, coaching, and performance support
  • Maintain operational coverage across a large multi-floor facility, ensuring consistent service levels, proper staffing, and adherence to established SOPs
  • Oversee internal mail distribution routes, package delivery schedules, and customer service interactions with internal departments and production teams
  • Support loading dock operations, including vendor coordination, freight intake, staging, and compliance with safety and security protocols
  • Monitor productivity metrics, service levels, and operational KPIs; escalate issues and recommend process improvements to the Site Manager
  • Assist with training new employees, reinforcing safety standards, and ensuring proper use of mailroom equipment and technology
  • Serve as a secondary point of contact for client inquiries, service escalations, and operational problem-solving
  • Ensure compliance with company policies, chain-of-custody requirements, and all mail handling and shipping regulations
  • Provide coverage for the Site Manager during absences and support business continuity during peak periods or high-volume events

Loading Dock Oversight
  • Manage all loading dock activity, including freight deliveries, equipment movement, and vendor access.
  • Ensure safe and efficient dock operations in compliance with OSHA and site-specific safety protocols.
  • Oversee scheduling, staging, and documentation for all inbound/outbound shipments.
  • Partner with facilities, security, and production teams to support large-scale deliveries and time-sensitive logistics.

Operational Management
  • Maintain inventory of mailroom and dock supplies, equipment, and materials.
  • Monitor and report on KPIs, productivity, and service metrics.
  • Identify process improvements to enhance efficiency, accuracy, and customer experience.
  • Ensure compliance with company policies, security protocols, and industry regulations.
  • Manage vendor relationships for shipping carriers, courier services, and equipment providers.

Qualifications
GED or High School Dipolma required
3-5+ years of experience in mailroom, logistics, facilities, or operations management.
Prior experience supervising a team in a fast-paced or production-driven environment.
Strong knowledge of shipping carriers, mail processes, and dock operations.
Excellent communication, leadership, and problem-solving skills.
Ability to manage multiple priorities and maintain service quality under tight deadlines.
Familiarity with safety standards, OSHA guidelines, and material-handling best practices.
