Job description

As Mail Lead, you will oversee the daily operations of the mailroom at our client's downtown Dallas location. You will lead 2–4 team members, ensure compliance with established protocols, and coordinate with the external client contact on service delivery within the approved client work agreement. You will attend periodic leadership meetings to report operational status, escalate issues, and provide feedback on process improvements. This is a full-time day shift position.

RESPONSIBILITIES

● Lead daily mailroom operations, including receiving, processing, and distributing mail and packages.

● Cover mailroom duties as needed to maintain service levels.

● Support 2–4 team members by monitoring work quality and ensuring timely task completion.

● Ensure staff follow established mail handling protocols, safety procedures, and security requirements.

● Work with the external client contact on day-to-day service delivery questions and operational issues within the approved Statement of Work.

● Escalate any client requests for scope changes, new services, or contract modifications.

● Identify and address protocol violations; recommend disciplinary action as needed.

● Arrange required staff training and certifications (with Headquarter support).

● Submit bi-weekly timesheets for staff and manage scheduling to ensure adequate coverage.

REQUIRED QUALIFICATIONS

● Proven lead experience managing a small team.

● High School diploma or G.E.D.

● Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

● Valid driver license and clean driving record.

● U.S. Citizen with ability to pass a thorough background check.

● Strong organizational and time-management skills.

● Ability to work in a fast-paced, deadline-driven environment.

● Excellent written and verbal communication skills.

● Detail-oriented with strong attention to accuracy.

● Ability to lift and carry up to 30 pounds without assistance.

● Ability to operate a mini-cargo van for mail distribution.

Preferred Qualifications:

● Prior experience in mailroom or mail distribution operations.

● Experience managing client-facing service delivery within defined scope.
