Job description

POSITION SUMMARY

Verifies identity of legally valid clients prior to allowing entry into the sales area and enters patient data into the EVS and ICS, if needed. Maintains accurate records of patients' identification and registration documents. Manages patient traffic flow. Answers phones and responds to patient and designated patient caregiver ("DPC") inquiries. Assists patients and DPCs with completing Company Discount Plan and Home Delivery documents, if requested.

DUTIES/RESPONSIBILITIES/TASKS

  • Welcomes patients and DPC as they enter the facility. Provides exceptional service for customers, answering any questions they may have and providing brief orientations when needed, for new clients, including regulatory excerpts, hours of operation information, etc.
  • Educates patients and DPC on the processes of registration, renewals, lost registration documents, etc.
  • Obtains the appropriate and electronically copied documents from each patient, ensuring the validity of their identification and state registration card.
  • Records each visit using Veriscan, ensuring accuracy of patient and DPC information, and recording notes if necessary.
  • Communicate with dispensary agents to facilitate an orderly patient traffic flow to maximize sales and customer satisfaction.
  • Records and collaborates with Green Cannabis Co and transportation agents about clients' preorders and online orders to ensure accurate order information and timeliness of delivery.
  • Responds to in-person patient requests resolve simple compliments or complaints through e-mail, and request supervisor support by phone as needed.
  • Organizes desk space and maintains waiting room throughout the day, including light cleaning and trash removal.
  • Updates knowledge of all applicable state and local laws and regulations, as well as documentation processes in accordance with Department and Dispensary policies and procedures.
  • Maintains a basic understanding of the marijuana, and related products and services offered at the Company's Dispensary.
  • Provides educational materials and resources for patients and DPC as needed; but does not provide medical/legal advice.
  • Records specific requests, preferences, and notes concerning patient and DPC registration status using the EVS and ICS, as required.
  • Assists with the preparation of documents as needed to assist patients and DPCs register with the Department, and documents needed to qualify for the Company Patient Discount Plan and Home Delivery Plan.
  • Ensures all patient and DPC files are current and required documentation is on file and follows all EVS and other guidelines issued by the Department.
  • Maintains patient database by entering new patients, adding or removing membership, updating changes in information, scheduling appointments, and updating patient registration status.
  • Discusses with dispensary agent or manager or assistant manager to update online menus and checklists.
  • Coordinates with Green Cannabis Co-manager for office supplies and other items as needed.
  • Organizes and routes incoming mail. Ensures outgoing mail is given to the postman daily. If applicable, collect P.O. Box contents twice weekly.

ADDITIONAL DUTIES AS REQUIRED

  • Prepares patient and customer online and pre-orders, if assigned.
  • Provides deliveries as needed.
  • Routes media calls to the appropriate manager or Community Outreach Manager immediately (do not comment unless authorized to do so).
  • Assists managers with research, communications, and any other assigned project/task.
  • Complies with Green Cannabis Co.'s and Company's current policies and procedures and applicable state and local laws and regulations.
  • Assists in start-of-day and end-of-day procedures, opens all computer programs necessary, organizes waiting room, prepares paperwork, etc.
  • Greets each patient or DPC and obtains all appropriate documentation.
  • Provides educational materials and resources for patients and DPCs as needed.
  • Discuss inventory levels with the dispensary manager and update online and checklist information, if needed.
  • Assists patients and DPS with their registration with the Department, if asked; but, does not provide medical/legal advice.
  • Records and collaborates with Green Cannabis Co. and transportation agents about preorders and online orders to ensure accurate order information and timeliness of deliveries.
  • Organize desk space and maintain waiting room throughout the day, including light cleaning and trash removal.
  • Assists managers with research, communications, and other assigned projects/tasks.
  • Organize and distribute incoming mail. Collect outgoing mail and ensure daily posting.
  • Stays informed and knowledgeable about applicable state and local laws and regulations and industry news.
  • Assists in follow-up calls to new members, those not seen in 60 days, and expired members.
  • Follow-up with patients and DPCs about specific product or service requests.
  • Notifies Dispensary manager of office supply needs and assists management in product inventory and/or adjustments.
  • Participates in the facility discussions and provides suggestions for improving product availability, patient and DPC satisfaction, and/or company policies and procedures as needed.
  • Attend staff meetings as scheduled.
