About Our Client: Addison Group is partnering with a growing organization in St. Charles that is seeking a highly organized Listing Coordinator to join its team. This direct hire opportunity is ideal for an administrative professional who thrives in a fast-paced environment, enjoys managing multiple deadlines, and has a strong attention to detail.


Job Description: The Listing Coordinator will oversee the administrative and operational aspects of transactions from contract through closing. This role serves as a liaison between clients, agents, lenders, title companies, and other stakeholders to ensure all documentation, deadlines, and compliance requirements are met. The ideal candidate is proactive, detail-oriented, and excels at providing exceptional customer service.


Key Responsibilities:

  • Coordinate transactions from contract execution through closing.
  • Manage transaction timelines, ensuring all deadlines and milestones are met.
  • Prepare, review, and maintain transaction files for accuracy and compliance.
  • Communicate with clients, agents, lenders, title companies, attorneys, and vendors throughout the transaction process.
  • Track required documentation and obtain signatures as needed.
  • Schedule inspections, appraisals, closings, and other transaction-related appointments.
  • Maintain accurate records within transaction management systems and CRM platforms.
  • Resolve administrative issues and proactively communicate updates to all parties.
  • Provide exceptional customer service while ensuring a smooth transaction experience.
  • Assist with additional administrative and operational projects as needed.


Qualifications:

  • 2+ years of transaction coordination, real estate administration, or related administrative experience.
  • Experience supporting real estate transactions or working in a real estate, mortgage, title, or legal environment preferred.
  • Proficiency in Microsoft Office Suite and experience with CRM or transaction management software is a plus.
  • Strong organizational skills with the ability to manage multiple transactions simultaneously.
  • Excellent written and verbal communication skills.
