Cohen Immigration Law Group, P.C. is a growing immigration law firm led by a retired U.S. Immigration Judge, dedicated to guiding clients through the immigration system with clarity, compassion, and precision. We are seeking a polished, reliable, and client-focused Immigration Intake Specialist to join our team and play a key role in ensuring smooth daily operations of the firm. This position is ideal for someone who thrives in a professional environment, communicates with confidence, and understands the unique needs of an immigration law practice. As the firm’s first point of contact, you will ensure a positive, supportive experience for prospective and current clients while assisting with intake, scheduling, and administrative workflows.


Responsibilities:

Client Intake & Lead Handling

  • Answer incoming calls, emails, and messages with professionalism and courtesy
  • Conduct thorough immigration intake screenings (eligibility, case type, urgency)
  • Manage and follow up with leads through CRM platforms as GoHighLevel
  • Maintain accurate client data and ensure prompt, consistent communication

Front Desk & Reception

  • Greet clients warmly upon arrival
  • Provide intake paperwork and ensure a welcoming environment

Scheduling & Administrative Support

  • Manage attorney calendars and schedule consultations
  • Confirm appointments and send reminders
  • Prepare consultation files and ensure documents are accessible
  • Assist with internal communication and coordination among team members

Document & File Management

  • Scan, upload, and label documents accurately
  • Maintain organized physical and digital client files

Qualifications:
  • Experience in a legal or professional office setting, demonstrating strong organizational skills.
  • Previous Customer Service or Sales Experience preferred
  • Ability to communicate clearly and empathetically with clients from diverse backgrounds.
  • Proven track record of managing multiple tasks efficiently in a fast-paced environment.
  • Familiarity with CRM platforms like GoHighLevel is a plus.
  • Strong attention to detail, ensuring accuracy in client data and documentation.
  • Experience in scheduling and calendar management, optimizing time for attorneys and clients alike.
