Grubb Properties is seeking a Commercial Lease Administrator to join our Commercial team. This role is ideal for someone who enjoys analytical work, thrives in a collaborative environment, and takes pride in accuracy. You'll administer lease activities for our commercial properties while developing specialized expertise that is highly valued throughout the commercial real estate industry.

What You'll Do
As our Commercial Lease Administrator, you'll help ensure commercial lease obligations are accurately administered throughout the lease lifecycle by:
  • Administering lease agreements, amendments, renewals, and related documentation for an assigned portfolio
  • Preparing lease abstracts and maintaining accurate lease records within Yardi
  • Preparing and administering monthly commercial billing and commercial rent rolls
  • Supporting CAM, operating expense, insurance, and real estate tax reconciliations
  • Supporting lease audits, estoppels, annual budgeting, utility billing, and other lease administration activities.
  • Supporting commercial property acquisitions through lease review, data validation, and portfolio setup
  • Monitoring tenant Certificate of Insurance (COI) compliance
  • Preparing rent increase notices, possession letters, commencement agreements, and other lease-related correspondence
  • Partnering with Accounting, Property Management, tenants, landlords, and internal stakeholders to ensure accurate lease administration
  • Providing responsive customer service while maintaining accurate records and confidentiality

Required Qualifications:
  • 1–2 years of experience in commercial real estate, lease administration, property management, accounting, and/or accounts payable/receivable.

  • Proficiency with Microsoft Excel, Word, and Outlook
  • Ability to prioritize work, meet deadlines, and work independently while exercising sound judgment
Preferred Qualifications:
  • Bachelor's degree.
  • Experience with Yardi or comparable property management software.
  • Experience with commercial lease administration or interpreting commercial lease provisions.
