Lease Administrator

Lease Administrator

Paradigm Oral Health is seeking a passionate multitasker to join our team as a Lease Administrator. Do you have extensive knowledge in lease administration? Do you like learning new things and developing new skills? If so, we want to hear from you! This is a unique opportunity for an experienced lease administrator. In addition to overseeing lease administration this role will be heavily involved with insurance and project management.

Responsibilities:

Lease Administration:

  • Manage and maintain lease agreements, critical dates, rent schedules, and key lease information within the lease administration system
  • Reading and abstracting lease documents ensuring data integrity of lease information in company systems
  • Work with landlords to obtain W9 and ACH information for vendor creation
  • Coordinate with the accounting team to ensure lease obligations are paid in accordance with the lease
  • Ensure the company takes advantage of key lease provisions (options, expirations, kick-outs, etc.) and reports this to management in a timely manner
  • Reporting and set up of tenant improvement allowances, rent abatements, rent credits, etc.
  • Work closely with other internal departments on new and expiring lease projects.
  • Coordinate the handling of repair & maintenance issues (lease review, landlord notification, etc.)
  • Perform detailed Common Area Maintenance (CAM), insurance, and real estate tax audits to reconcile accounts and identify discrepancies

Insurance:

  • Oversee insurance binder and meet with insurance broker on a bi-weekly basis to discuss new projects and acquisitions
  • Monitor existing policies and maintain appropriate levels of coverage
  • Oversee the issuance of insurance certificates
  • Submit initial claims as needed
  • Serve as the liaison between management and our insurance broker

Project Management:

  • Oversee the processing of all invoices related to new construction projects
  • Submit for tenant improvement allowance reimbursement
  • Attend all necessary calls with internal departments to ensure all property/finance matters remain on track
  • Communicate to the finance team when projects are complete and open

Qualifications:

  • Bachelor’s degree in real estate, accounting, finance, business, or a related field preferred; or equivalent experience
  • 3-5+ years lease administration experience
  • Strong working knowledge of commercial lease agreements and common lease terms
  • Lease administration software experience preferably with Lease Query
  • Individual must be organized, detail oriented, energetic, motivated, and a self-starter
  • Strong communication skills and the ability to work collaboratively with other departments
