Job description


Widener University's Delaware Law School is seeking a detail-oriented Administrative Support Specialist to support the faculty and needs of the Law School. This position plays a key role in supporting initiatives that promote student achievement and bar exam readiness.

Reporting to the Associate Dean for Academic Affairs, the Administrative Support Specialist provides essential administrative and operational support to the law school's academic programs. This role supports the effective functioning of Academic Affairs by assisting faculty with courserelated needs, coordinating academic programming, and serving as a reliable point of contact for students seeking guidance on academic processes and resources.

Key responsibilities include administrative work supporting faculty, assist with organizing academic events and workshops, maintaining attendance and related academic data, and supporting the implementation of academic policies and initiatives. The Administrative Support Specialist also assists with routine copying and documentpreparation needs for faculty, ensuring timely and accurate distribution of course materials and exams. Additionally, the position plays an important role in connecting students with appropriate academic services, facilitating communication between faculty and students, and assisting with scheduling, inquiries, and general administrative tasks that advance the law school's academic mission.

DUTIES AND RESPONSIBILITIES (including, but not limited to):

Essential Duties:

  • Assist faculty with exam preparation, exam data management, course materials, book orders, photocopying, desk copies, and correspondence.
  • Assist with proofreading, duplication/printing, and dissemination of flyers and other documents.
  • Manage calendars, schedule appointments, arrange meetings, and prepare meeting minutes for faculty and department chairs.
  • Help to greet office visitors, answer their questions, and direct them to the appropriate office or resource.
  • Assist in managing course schedules, curriculum updates, and student evaluations.
  • Act as the first point of contact, greeting visitors, answering phones, and managing professional correspondence.
  • Assist with onboarding new adjunct/full-time faculty, maintaining files, and tracking faculty records (e.g., contracts, performance evaluations).
  • Maintain inventory of office supplies, manage equipment, and maintain student database systems
  • Interact professionally with a wide array of constituents, including students, faculty, administrators, alumni, attorneys, and judges.
  • Work with other Faculty and Law School Administrators to track office and program expenses and maintain financial records.

Secondary Duties:

  • Serves as backup to the Copy Center Coordinator, supporting high-volume print operations, large-scale duplication projects, supply coordination, vendor service requests, and confidential handling of academic materials.

MINIMUM QUALIFICATIONS: (education/training and experience required)

Required:

  • Associate's degree.
  • Two (2) years of administrative support experience in a busy office environment. An equivalent combination of experience and education may be considered.
  • Demonstrated organizational skills, flexibility, and adaptability.
  • Demonstrated ability to multi-task with exceptional attention to detail.
  • Strong proficiency with Microsoft Office suite especially Outlook, Word, Excel, and PowerPoint.
  • Aptitude and willingness to learn new technology systems, including but not limited to student information systems and learning management systems.
  • Ability to work independently and as a part of a team.
  • Superior written and verbal communication skills.
  • Ability to maintain confidentiality at all times.
  • Ability to work in an open office environment while helping to greet and assist office visitors.
  • Ability to maintain sensitivity, understanding, and respect for a diverse academic environment inclusive of students, faculty and staff of varying social economic, cultural, ideological, and ethnic backgrounds.

Preferred:

  • Experience in customer service.
  • Experience in Higher Education or a school office.
  • Experience working with law students.

PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:

  • Flexibility to work occasional evening hours, including up to two times per month until 6:15 p.m., to support student schedules.
  • Willingness to attend and participate in evening events as needed.
  • Ability to sit and work at a computer for extended periods.
