The Positionย 

The Coordinator, People & Culture serves a critical role within the P&C team, supporting core functions across Talent Acquisition, People Operations, Learning & Development, and Wellness.ย Withinย Talent Acquisition, theย Coordinator willย assistย with phone interviews,ย coordinating panel interviews, ensuringย accurateย record keeping,ย andย running our first-day orientations forย new staff.ย Acrossย the broader P&C Team, they willย assistย with managing our shared inboxes, routing requests to theย appropriate teamย member, supporting employee engagement events,ย database management,ย assistingย various people operations projects, and other responsibilities as needed.ย

PRIMARY RESPONSIBILITIESย 

Talent Acquisitionย 

  • Manage aspects of the recruitment process including pre-screening, on-site interviews, reference checks, and offers, primarily for early-career Operations, Administrative, and veterinary medicine roles.ย ย 

  • Work with hiring managers to coordinate and schedule panel interviewsย 

  • Work with hiring managers toย maintainย accurateย and complete interview records.ย ย 

  • Update the Applicant Tracking System (ATS), coordinate background verifications aligned with theย organizationsย processes and manage all follow-up communications.ย 

  • Prepare and process hiring documentation (e.g., consulting agreements, orientation communication) in collaboration with other members of the People & Culture team.ย 

  • Assistย withย maintainingย document libraries, supporting regular audits and reviews to make sure our SOPs areย up-to-dateย 

  • Adhere to and enforce OH hiring policies and best practicesย for bothย themselvesย and those involved in the interview processย 

  • Expand our talent pipeline by posting roles to mission-aligned boards and organizationsย 

  • Communicate with candidates from the offer stage until their first day, answering questions, and providing a seamless transition.ย ย 

  • Conduct & run employee first-day orientation forย early-careerย staff, ensuring a welcoming and engaging employee experience.ย Activate Employee badges.ย Act asย backupย for Salem orientation if needed.ย 

  • Support other talent acquisition projects as neededย 

People & Cultureย 

  • Manage the P&C Inbox, routing tasks to various team members and ensuringย timelyย follow-up on requestsย 

  • Identifyย and document urgent requests and ensure that theย appropriate teamย member has all the details to act.ย Follow-up on requests with incomplete informationย 

  • Document any trends or repeated issues and escalate those to theย appropriate teamย memberย 

  • Support P&C Interns โ€“ provide supervision and distribution ofย tasks.ย ย 

  • Supportย the People Partner team withย various People & Culture administrative projectsย 

  • Learn andย utilizeย our Human Capital Management (HCM) systemย โ€“ including updating various employee fields and running reports for accuracyย 

  • Record meeting notes from P&C Team meetingsย 

  • Working with our Manager, P&C andย Specialist,ย P&C: provide support to our wellness program, including staffing our Portland-based Wellness eventsย 

  • Assistย with internal and external People & Culture engagements (ex: open enrollment, staff appreciation, local job fairs)ย

Workย Environmentย Conditionsย & Physical Requirementsย 

This position interacts and collaborates will all levels of the organization, includingย Oregon Humaneย staff,ย executive team members, donors,ย generalย public, external vendors, volunteers, and supporters. Contact and communicationย isย carried out through face-to-face, telephone and digital interactions. Excellent customer service skills are essential to success. Communication must be clear, understandable,ย professionalย and respectful in all circumstances.ย 

WORKING CONDITIONSย ย 

  • Work is performed in an office andย medical center/animal shelter environment.ย 

  • Travel between the two campuses may beย requiredย on a monthly basis.ย ย 

  • Working at both campuses may beย required.ย ย 

  • Occasional weekend and evening work may beย required.ย 

  • Animal contact and related injuries may occur.ย 

  • Noise exposure varies and sometimes includes uncontrolled barking and other animal vocalizations.ย 

  • Pace of work is active and demanding, requiring a high degree of multitasking and ability to adapt to changing priorities while managing concurrent projects/tasksย to completion.ย
