About Our Client:
Addison Group is partnering with our client to identify a polished and organized Law Office Receptionist. This position serves as the face of the office while also providing administrative and billing support to attorneys and staff.
Job Description:
The Law Office Receptionist is responsible for creating a welcoming experience for clients and visitors, managing front desk operations, and assisting with legal billing and administrative functions. This role requires professionalism, strong attention to detail, and the ability to manage multiple priorities in a busy office environment.
Key Responsibilities:
- Serve as the first point of contact for clients, guests, and vendors.
- Manage incoming phone calls and direct inquiries to the appropriate team members.
- Coordinate conference room reservations and maintain an organized reception area.
- Process incoming and outgoing mail, deliveries, and office correspondence.
- Provide administrative support to attorneys and office staff.
- Enter and maintain attorney time records within billing systems.
- Verify billing entries for accuracy and adherence to client requirements.
- Communicate with attorneys regarding incomplete or missing timekeeping information.
- Handle confidential information with discretion and professionalism.
- Assist with special projects and office-related tasks as assigned.
Qualifications:
- High school diploma or equivalent required; additional education is a plus.
- Prior experience in a legal office, professional services firm, or administrative support role preferred.
- Experience working with billing, timekeeping, or accounting software is beneficial.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication abilities.
- Proficiency with Microsoft Office applications.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Professional presentation and customer-service mindset.
