Trackman is looking for a Key Account Coordinator to join our SIM Scheduling & Maintenance team. This role is the operational backbone of our Key Account program. This role will support our most strategic commercial partners. You will be the single point of contact coordinating installations, maintenance visits, and vendor requests across the key account network, working directly alongside the Key Account Project Manager and Key Account Installation Team.

The ideal candidate is highly organized, proactive, and comfortable managing multiple priorities in a dynamic environment. You will be the connective piece between our field team, our key account contacts, and our internal operations.

Responsibilities include but are not limited to:
  • Schedule and coordinate all Key Account installations, maintenance visits, and revisits for the Key Account Installation Team, ensuring alignment between installer availability, account contacts, and project timelines.
  • Serve as the primary point of contact for Trackman’s key account partners for all scheduling and coordination matters. Build and maintain strong relationships with store managers, facilities contacts, and regional teams.
  • Monitor and manage vendor maintenance requests through vendor platforms to ensure all work orders are captured, assigned, actioned, and closed in a timely manner.
  • Complete and manage order picklists for maintenance visits and installations, ensuring all required materials are identified, ordered, and confirmed on-site before any crew is dispatched.
  • Create and submit Salesforce invoices as necessary following completed installations, maintenance visits, and service calls.
  • Coordinate parts and materials orders for the key account network in partnership with the operations team; oversee shipment tracking and ensure materials arrive on schedule.
  • Maintain the key account scheduling board (Monday.com) with real-time status, installer assignments, account contact notes, and visit outcomes. All actions must be reflected and captured using internal tools.
  • Work directly with the Key Account Project Manager and Key Account Regional Installation Manager to verify account readiness, confirm site prerequisites, and set the team up for first-time completion on every visit.
  • Monitor and respond to all incoming emails and communications from key account partners, internal staff, and installers in a timely and professional manner.
  • Track revisit rates and maintenance frequency across the key account network; flag recurring issues to the Key Account Project Manager for resolution.
  • Assist the broader Trackman Operations team with additional tasks as needed.
Qualifications:
  • Strong organizational, planning, and problem-solving skills with a demonstrated ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills; comfortable as the primary liaison between internal teams and external commercial accounts.
  • Proficiency in Microsoft Office (Excel experience required). Experience with Monday.com, Salesforce, or Service Channel strongly preferred.
  • Experience in project coordination, scheduling, construction administration, or field service operations is a plus.
  • Ability to understand and work within a technical environment — basic familiarity with AV, PC components, or golf simulator technology is helpful but not required; willingness to develop a strong working knowledge of our products is essential.
  • Detail-oriented with a high degree of accuracy in data entry, scheduling, and order management.
  • Ability to create, read, and maintain operational reports, visit logs, and communication records to ensure proper follow-up on all account activity.
  • Positive, professional, and customer-first attitude with a genuine interest in building long-term relationships with our key account partners.
  • Passion, drive, excellent work ethic, and ability to self-start and manage priorities without direct supervision.
