  • Assist with client communications and ensure requests, decisions, and action items are accurately documented and communicated to appropriate internal teams.
  • Participate in client calls, status meetings, briefings, and program reviews.
  • Prepare meeting agendas, notes, action items, and follow-up communications as needed.
  • Maintain professional, responsive, and client-focused communication.
  • Escalate significant client concerns, changes in scope, or service issues to the Account Manager or appropriate Client Services leader.

2. Program & Operational Coordination
  • Support the planning and execution of staffing programs, activations, and client initiatives.
  • Assist in translating client requirements into clear operational and staffing needs.
  • Coordinate with Staffing, Project Management, HR, Payroll, and other internal teams to support successful program delivery.
  • Track schedules, staffing requirements, program milestones, deadlines, and outstanding deliverables.
  • Help ensure internal teams have accurate and current information regarding client requirements and program expectations.
  • Monitor program readiness and proactively identify potential gaps, delays, or operational concerns.
  • Support on-site and live event operations as required, acting as a key point of contact between Elevate, the client, and Brand Ambassadors. Responsibilities may include managing staff check-ins and check-outs, monitoring attendance and punctuality, coordinating breaks and shift coverage, responding to staffing issues, communicating client updates to the team, supporting Brand Ambassadors throughout the event, and escalating any operational or client concerns appropriately.
  • Escalate operational issues appropriately and assist with resolution and follow-through.

3. Staffing & Talent Coordination
  • Partner with Staffing and project delivery teams to support fulfillment of client staffing requirements.
  • Assist with communicating program requirements, scheduling information, and client expectations to appropriate internal teams.
  • Track staffing progress and identify potential fulfillment concerns.
  • Monitor feedback regarding field staff performance and communicate relevant concerns to Account Managers, Staffing, or HR as appropriate.
  • Help maintain alignment between client expectations, staffing plans, and program execution.

4. Documentation & Reporting
  • Maintain accurate and current client files, program documentation, briefs, schedules, and account records.
  • Support the preparation of client-facing documents, presentations, status updates, and program materials.
  • Assist with post-activation reporting, program recaps, and client-facing summaries.
  • Track assigned account and program KPIs and compile information for Account Manager review.
  • Maintain accurate information within CRM, staffing, project management, and other company systems.
  • Ensure assigned reports, documents, and administrative deliverables are completed accurately and on time.

5. Client Service & Continuous Improvement
  • Support consistent delivery of a high-quality client experience throughout the program lifecycle.
  • Gather feedback from clients and internal teams and communicate opportunities for improvement.
  • Identify recurring operational issues and recommend potential process improvements.
  • Support Account Managers in implementing solutions that improve efficiency, communication, and service delivery.
  • Develop knowledge of Elevate's services, staffing capabilities, operational processes, and client portfolio.
  • Take on increasing account responsibility as experience and proficiency develop.
