Job Title: Accounts Payable Clerk

Department: Finance/Accounting

Reports To: Accounts Payable Director


Job Summary:


The Accounts Payable clerk will be tasked with handling many aspects of the accounts payable process for the organization. This includes processing invoices, verifying financial data, preparing payments, and managing vendor relations. The ideal candidate will have a keen eye for detail, excellent organizational skills, and a deep understanding of accounting principles.


Key Responsibilities:

  • Invoice Processing:  Review and verify invoices and check requests. Sort, code, and match invoices to purchase orders or contracts. Enter invoices into the system for payment.
  • Payment Management: Prepare and perform check runs, wire transfers, and ACH transactions. Monitor accounts to ensure payments are up to date.
  • Vendor Management: Maintain vendor files, including obtaining W-9s, resolving invoice discrepancies, and responding to vendor inquiries.
  • Reconciliation: Reconcile accounts payable transactions and prepare analysis of accounts. Monitor account balances, track expenses, and prepare monthly reports.
  • Internal Controls: Ensure compliance with financial policies and procedures. Assist with month-end closing and ensure timely and accurate reporting.
  • Audit Support: Provide supporting documentation for audits and participate in improving the accounts payable process.


Required Skills and Qualifications:

  • Proven experience as an Accounts Payable Clerk, or clerk of a similar role.
  • Proficiency in accounting software and databases, with a strong preference for candidates with experience in specific ERP systems.
