Accounts Payable Clerk


Position Summary

The Accounts Payable Clerk supports the Controller by managing daily accounts payable functions, ensuring timely, accurate processing of vendor payments and maintaining organized financial records.


Key Responsibilities

  • Set up and maintain vendor profiles.
  • Review invoices and check requests for authorization, documentation, and accuracy.
  • Code expenses to correct accounts and cost centers.
  • Enter invoice data accurately and maintain organized A/P files.
  • Prepare payment reports and track deposited checks.
  • Process petty cash reimbursements.
  • Execute weekly check runs and issue replacement checks as needed.
  • Respond professionally to vendor and staff inquiries.
  • Review and resolve outstanding checks older than six months.
  • Prepare and file year‐end 1099 and 1096 forms.
  • Provide backup support for sales tax payments.
  • Reconcile and process monthly business credit card statements.
  • Prepare A/P accruals, prepaid entries, and schedules for year‐end audit.
  • Generate vendor reports upon request.
  • Scan and archive paid invoices.
  • Distribute staff checks.
  • Assist with annual audits.
  • Submit quarterly Department of Labor reports.
  • Support preparation of monthly HRPT reports.
  • Provide tax‐exempt forms as needed.
  • Request bids for large purchases and prepare cost comparisons.
  • Perform additional duties as assigned.
