Intake Project Support Specialist
Behind every smooth contract flip, payer transition, and site consolidation is someone tracking every moving piece so nothing falls through the cracks. We're looking for an Intake Project Support Specialist to be that person for our Intake department.

This role exists to give supervisors and managers their time back. Instead of getting pulled into project logistics and documentation chasing, they can focus on leading their teams, while you keep the operational engine running underneath them.
You'll be the central resource across Intake, coordinating contract flips, payer retractions, site consolidations, and cross-team escalations, and making sure critical projects are executed accurately and on schedule.

The Job
The Intake Project Support Specialist provides dedicated operational and project support to the Intake department by coordinating high-priority initiatives, maintaining project deliverables, and assisting teams with administrative workflows. This role serves as a central resource for the Intake teams while supporting department-wide operational projects that require ongoing coordination and follow-through.
The primary objective of this position is to improve operational efficiency by allowing supervisors and managers to focus on leadership, employee development, and process improvement, while ensuring critical projects are executed accurately and on schedule.
Key Responsibilities
Coordinate contract flip activities across multiple payers and locations.
Manage payer retractions and ensure timely communication and follow-up.
Support site consolidations by tracking project milestones and required documentation.
Add and maintain TPIDs within WeInfuse.
Coordinate RE-Direct management activities and maintain project tracking.
Perform VIP office portal pulls and distribute required documentation.
Track project progress, identify barriers, and escalate issues when appropriate.
Gather transcription-related escalations for supervisor review.
Monitor outstanding documentation requests and support quality initiatives and process improvements.
Provide administrative support for scheduling-related projects and assist with workflow coordination and backlogs.
Help resolve scheduling project tasks that require cross-functional communication.
Collect documentation-related escalations from operational teams and organize them for supervisor review and prioritization.
Ensure appropriate follow-up and completion of assigned action items.
Maintain project trackers and status reports, and coordinate communications between operational teams.
Monitor deadlines and ensure timely completion of assigned initiatives.
Identify workflow improvement opportunities and recommend process enhancements.
