Job description

The Onboarding Specialist is responsible for managing the end-to-end onboarding and implementation process for assigned clients, from signed agreement through program launch. This role coordinates client communication, data collection, system setup, documentation, training, and cross-functional activities to ensure a smooth and successful transition. The Onboarding Specialist will proactively manage timelines, identify and resolve implementation barriers, ensure all launch requirements are met, and facilitate a seamless handoff to the Account Management team. This role will also contribute to the continuous improvement of onboarding processes, playbooks, and training materials as the program grows.
JOB RESPONSIBILITIES:
  • Own the end-to-end onboarding process for assigned client groups from signed agreement through go-live
  • Conduct kickoff calls, system configuration walkthroughs, and training sessions with group staff
  • Coordinate data collection, document validation, and system setup across internal teams
  • Maintain an accurate onboarding project plan for each client and communicate status proactively
  • Identify and resolve implementation blockers, escalating to the Program Manager or FSTC Manager when needed
  • Ensure each client meets all compliance and documentation requirements prior to launch
  • Facilitate a structured handoff to the assigned Account Manager upon program go-live
  • Contribute to the refinement of onboarding playbooks and training materials as the program scales

**Pay Range for this role is - $52,000
EDUCATION:
Bachelor's degree in Business Administration, Project Management, Operations, Communications, or a related field preferred.
EXPERIENCE:
  • 2-4 years of experience in client implementation, onboarding, project coordination, or a related field.
  • Experience coordinating multiple clients, projects, or workstreams simultaneously.
  • Experience leading client meetings, training sessions, or process walkthroughs.
  • Experience coordinating cross-functional activities, managing project timelines, and tracking deliverables.
  • Experience in financial services, education technology, SaaS implementation, or a related industry preferred.
  • Experience using project tracking tools such as Asana, Jira, Monday.com, or similar platforms preferred.

COMPETENCIES - SKILLS/KNOWLEDGE/ABILITIES:
  • Strong organizational skills with the ability to manage multiple clients simultaneously
  • Excellent communication skills, able to explain complex processes to non-technical stakeholders
  • Detail-oriented with a process-driven mindset
  • Experience in financial services, edtech, or SaaS implementation preferred
  • Familiarity with project tracking tools (Asana, Jira, Monday.com, or similar)

This position offers a hybrid work option. Nelnet values flexibility and understands the importance of work-life integration. Our hybrid work environment allows associates Living within 30 miles our Lincon Nebraska office location to work remotely for part of the week, while also fostering collaboration and team connection through in-office presence three days per week.
