Job description

The Administrative Assistant/Receptionist will provide essential support in a dynamic office environment, balancing front desk reception responsibilities with comprehensive administrative assistance. This role supports a large administrative team of over 10 members and reports to both the Department Head and the Operations Manager. Occasional local travel may be required. The ideal candidate will manage a variety of tasks to ensure smooth office operations and excellent customer interactions.

Responsibilities

  • Manage reception duties including greeting visitors and handling inquiries
  • Coordinate and maintain calendars and schedules for the department
  • Perform accurate data entry and maintain electronic and paper records
  • Provide customer support via phone, email, and in-person communications
  • Prepare and organize documents and correspondence
  • Coordinate meetings and office events
  • Manage office supplies and place orders as needed
  • Maintain organized record keeping systems
  • Handle incoming and outgoing email communications effectively

Preferred Qualifications

  • 3+ years of experience in administrative support roles
  • High school diploma or equivalent
  • Proficient in Microsoft Office Suite
  • Strong data entry skills
  • Excellent customer service and communication skills
  • Experienced in scheduling and calendar management
  • Ability to multitask and solve problems efficiently
