Job description

Overview

i3 is in search of a Front Office Coordinator (First Impression Specialist) who will champion our values and help us continue our tradition of extraordinary service.

As a friendly, outgoing, and cheerful front desk professional, you will be responsible for creating the First Impression of i3 by greeting and welcoming visitors, answering our busy phone, and routing calls to the correct individual or department. You will become familiar with our customers, and they will look forward to interacting with you. When you aren't answering phones, you will be happy to pitch in and complete projects/tasks for various members of our team including ordering lunches, coordinating mailings, and distributing packages, among various other duties.

Responsibilities
  • You should be prepared to enjoy a day filled with much activity. You must be reliable and have excellent follow-through qualities.
  • You are expected to be a highly organized multi-tasker who will:
    • Greet guests with a warm, professional demeanor, creating a welcoming front office environment.
    • Manage visitor sign-in and sign-out processes in accordance with company security procedures, including verifying identification and issuing visitor badges.
    • Maintain a professional, welcoming appearance of all common areas: reception area, break room, and conference rooms.
    • Maintain office and break room supplies across multiple facilities.
    • Organize and track meeting and conference room schedules.
    • Assist with special projects and events within the Human Resources team.
    • Process team member reimbursements.
    • Be assigned tasks that will require a valid driver's license and reliable personal transportation.
    • Other duties as assigned.
Qualifications

Required Skills:

  • Ability to obtain and maintain a DOD Secret Clearance.ย 
  • Proficient in Microsoft Office Suite.
  • Must possess several attributes including strong attention to detail, a "concierge" mentality, a "can-do" attitude, be a team player, a self-starter, exemplify service before self, and maintain the highest level of integrity.
  • The right candidate will demonstrate a proven ability to organize and prioritize tasks and execute them in a timely manner. Strong interpersonal skills are essential.

ย Experience:

  • Customer service experience required.
  • Experience in a fast-paced office environment preferred.
  • Bachelor's degree or currently enrolled in a degreed program is preferred.
  • Valid Driver's License required.

  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; handle or feel; and reach with hands and arms.
  • The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must be able to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
  • Regular i3 hours are 8:00 a.m. - 5:00 p.m. Monday-Friday, however, additional hours may be required on occasion. Regular and punctual attendance is required.
