Job description

We are seeking a Human Resources Specialist to support centralized HR operations across core HR functions, including employee records, HR documentation, benefits support, payroll coordination, recruiting support, immigration compliance, reporting, and general HR administration. This role will work closely with site HRBPs, Payroll, Benefits, Recruiting, Legal, managers, employees, immigration counsel, and cross-functional teams to ensure HR processes are completed accurately, timely, and consistently.
This role is intended to provide centralized coordination, documentation, and administrative support across daily HR operations, including employee relations, immigration, benefits, payroll, recruiting, and all HR processes.
Job Responsibilities Include:
  • Provide centralized HR operations support across core HR functions, including benefits, payroll, recruiting, employee records, immigration compliance, HR documentation, and reporting.
  • Support site HRBPs with employee relations documentation, including counseling records, warning notices, investigation notes, termination documents, and related follow-up tracking.
  • Maintain accurate and organized employee records, HR documents, compliance trackers, personnel files, and internal HR databases.
  • Support onboarding and offboarding processes by coordinating required documentation, system updates, employment verification, and internal HR process steps.
  • Assist with payroll-related coordination, including employee status updates, payroll change logs, timekeeping follow-up, deduction updates, leave status changes, and payroll-impacting documentation.
  • Support benefits administration by assisting with employee inquiries, enrollment documentation, deduction coordination, eligibility tracking, and communication with internal or external benefits partners.
  • Provide recruiting coordination support, including interview scheduling, candidate communication, offer letter preparation, background check follow-up, and new hire readiness tracking.
  • Handle employment-based immigration processes, including case intake, document collection, employee and manager communication, status tracking, work authorization monitoring, I-9/reverification follow-up, coordination with immigration counsel, and related compliance recordkeeping.
  • Prepare and maintain HR reports related to headcount, employee status changes, terminations, recruiting activity, benefits, payroll items, compliance tracking, immigration status, and other HR metrics.
  • Process HR-related invoices, coordinate approvals, track payment status, and maintain records for vendor services, immigration matters, employee programs, and other HR expenses.
  • Respond to employee and manager inquiries related to general HR processes, benefits, payroll coordination, onboarding, documentation, and policy guidance, escalating complex matters to the appropriate HR partner or department.
  • Coordinate with HRBPs, Payroll, Benefits, Recruiting, Legal, Finance, immigration counsel, and other cross-functional teams to ensure HR transactions and employee updates are completed accurately and timely.
  • Review and track compliance with required training, work assessments, and other HR records.
  • Perform other HR and payroll-related duties as assigned.
Required Skills/Abilities:

  • Experience with ADP or similar HRIS, or other HR-related systems preferred.
  • Knowledge of general HR operations, employee documentation, payroll coordination, benefits administration, recruiting support, immigration processes, and HR compliance preferred.
Education and Experience Requirements:
  • Bachelor's Degree in Human Resources, Business Administration, Information Systems, Data Analytics, Accounting, Finance, or related field preferred.
  • 2+years of Human Resources, payroll, HRIS, or related administrative experience preferred.
  • Experience handling employment-based immigration processes, I-9 compliance, work authorization tracking, immigration documentation, and coordination with immigration counsel preferred.
  • Experience preparing HR documentation, maintaining trackers, processing invoices, coordinating approvals, or supporting HR process improvements preferred.
