Type:  Full-Time or Part-Time  Internship/Fellowship Temp-to-Perm (Potential)

Job Summary:

The HRIS Fellow is a paid, developmental role designed for current students, recent graduates, veterans, career changers, and emerging HR/HRIS professionals who are interested in human resources technology, workflow automation, documentation, and operational excellence. This role supports the HR team by helping configure and test Paycom workflows, document HRIS processes, and create standard operating procedures (SOPs), job aids, checklists, templates, and related governance materials.

Under the direction of HR leadership, the HRIS Fellow will help improve employee lifecycle workflows, strengthen HR documentation practices, and support more consistent, efficient, and auditable HR operations. This role does not make independent policy, compensation, payroll, benefits, employee relations, or employment decisions. All workflow configuration, document updates, and process recommendations are subject to review and approval by HR leadership.

Key Responsibilities:

  • Support the setup, maintenance, testing, and optimization of Paycom workflows, checklists, document routing, notifications, approval chains, and task assignments for onboarding, offboarding, employee changes, compliance tracking, performance, training, benefits, and related HR processes.
  • Draft, update, and maintain SOPs, process maps, user guides, job aids, workflow instructions, FAQs, templates, and version-controlled HRIS documentation in SharePoint or other approved repositories.
  • Translate HR process requirements into clear workflow steps, identifying handoffs, approvals, dependencies, controls, bottlenecks, and opportunities for automation or standardization.
  • Assist with HRIS testing and user acceptance testing, including test scripts, mock transactions, validation steps, issue logs, and follow-up with internal users or Paycom support as directed.
  • Help maintain Paycom data integrity through audits, data-cleanup support, field validation, workflow testing, and documented quality checks.
  • Support HR reporting by helping build, update, organize, or validate standard reports, dashboards, trackers, audit files, and recurring HR operational metrics.
  • Partner with HR, Payroll, Finance, Recruiting, Operations, and managers to understand process needs and develop practical end-user guidance.
  • Maintain HRIS change logs, workflow inventories, SOP registers, document-review cycles, and related governance tools to support continuity and accountability.
  • Prepare meeting notes, project trackers, workflow status updates, and implementation summaries for HR leadership.
  • Protect confidential employee, compensation, benefits, payroll, medical, and business information in accordance with IBEX policies, access controls, and applicable privacy and security expectations.
  • Participate in regular coaching, check-ins, and workflow demonstrations; incorporate feedback to improve technical accuracy, documentation quality, and user experience.
  • Perform other HRIS, HR operations, documentation, and continuous improvement duties as assigned.

Learning & Development Objectives:

  • Build practical experience in HRIS workflow design, Paycom configuration support, HR operations, SOP writing, process mapping, and compliance-aware documentation.
  • Develop working knowledge of employee lifecycle processes, HR data controls, access considerations, and change management practices.
  • Strengthen business writing, project coordination, stakeholder communication, critical thinking, and systems-based problem-solving skills.
  • Develop a professional portfolio of sanitized workflow maps, SOP samples, checklists, and process improvement summaries that demonstrate practical HRIS and documentation capability.

Qualifications:

  • Enrollment in or completion of a program in Human Resources, Business Administration, I/O Psychology, Management Information Systems, Information Technology, Project Management, Communications, Technical Writing, or a related field is preferred but not required.
  • Open to current students, recent graduates, veterans, career changers, and candidates with relevant administrative, technology, operations, documentation, or process improvement experience.
  • Strong interest in HRIS, HR operations, systems configuration, workflow automation, process improvement, SOP writing, and documentation management.
  • Strong proficiency in MS Office, SharePoint, Teams, Excel, and online software applications. Ability to learn Paycom and other HR technology platforms quickly.
  • Prior Paycom, HRIS, payroll, HR operations, workflow, document control, SOP writing, process mapping, or project coordination experience is preferred but not required.
  • Excellent organizational, time management, critical thinking, and written communication skills with strong attention to detail.
  • Ability to translate complex or ambiguous processes into clear, step-by-step documentation for HR, managers, and employees.
  • Comfortable asking questions, documenting requirements, testing workflows, organizing feedback, and incorporating revisions.
  • Ability to multitask, work with a sense of urgency, and remain composed in a fast-paced, confidential HR environment.
  • Ability to build rapport with others and communicate professionally with employees, managers, vendors, and internal stakeholders.
  • Must have current U.S. work authorization.
  • Alignment with company Core Values and commitment to maintaining confidentiality.

  • SOP development, ISO/quality documents, audit readiness, technical writing, or process improvement.

Physical Demands

While most corporate roles are performed in a remote, seated office setting, some positions may occasionally require:
