About the Role

Were growing, and were looking for a reliable, detail-driven Gift Processing Team Lead to guide our gift processing team while contributing hands-on to the work. In this role youll lead and coach a team of Gift Processing Specialists, ensure every donor gift is handled accurately and on time, and strengthen the systems and controls that keep everything running. Youll partner closely with our Finance and Development teams to safeguard the generosity that fuels our mission.

What Youll Do

Team Leadership

  • Supervise the Gift Processing team - including training, workflow management, performance coaching, and process improvement initiatives.
  • Serve as a resourceful problem-solver for gift processing, donor records, and reconciliation issues.
  • Monitor team productivity and service levels while fostering a collaborative, mission-focused team.
  • Coordinate with the Finance and Development teams to support reconciliation, reporting, compliance, and adherence to organizational policies and accounting standards.
  • Develop and document operational procedures to improve efficiency, accuracy, and scalability.


Gift Processing & Data Entry

  • Process all incoming gifts: checks, wire and ACH transfers, stock, donor-advised funds, IRAs, cryptocurrency, and more - accurately and efficiently.
  • Meet our 48-hour turnaround standard for issuing donor receipts and execute end-of-year giving statements.
  • Sort, stamp, scan, file, and log incoming mail, and confirm that bank deposit totals are accurate.
  • Review donations to assign the correct campaign, fund, appeal, and gift type.
  • Create and maintain accurate constituent records in our CRM, keeping donor information and mailing lists current and complete.
  • Manage gift processing for donor events.
  • Protect donor confidentiality and follow all data privacy policies.
  • Cross-train across all areas of gift processing to provide coverage during peak times.


Collaboration & Continuous Improvement

  • Partner closely with the Finance and Development teams.
  • Help document and keep current our gift processing policies and procedure manuals.
  • Continuously evaluate workflows to improve efficiency and data accuracy.
  • Take on additional tasks that support team and organizational goals.


What You Need to Succeed

Experience & Education

  • Prior gift processing experience is required; experience with nonprofit fundraising operations and complex giving vehicles is strongly preferred.
  • Experience leading administrative, donor services, gift processing, or data operations teams.
  • Bachelors degree or equivalent related experience.
  • Intermediate Excel skills (required).
  • Experience in a nonprofit, faith-based, or mission-driven organization is a plus.


Skills & Strengths

  • Demonstrated ability to assess complex situations, think critically, resolve operational challenges, and improve processes proactively.
  • Self-motivated, with the ability to work independently and with minimal supervision.
  • Experience with relational-database CRMs; Virtuous strongly preferred.
  • Strong working knowledge of Microsoft 365.
  • High attention to detail, with a commitment to accuracy and confidentiality.
  • Ability to manage multiple priorities and deadlines at once.
  • Strong verbal and written communication.
  • Proven ability to set priorities, organize tasks, and follow through.
