What does a full time event planner do?

A full time event planner is responsible for organizing, coordinating, and executing events such as conferences, weddings, corporate meetings, and parties. Their duties include budgeting, selecting venues, arranging logistics, managing vendors, and ensuring that every aspect of the event runs smoothly. They often work closely with clients to understand their vision and requirements, then handle all the details from start to finish. Event planners must be skilled in communication, organization, and problem-solving to successfully handle the many moving parts of each event.

What are some common challenges full time event planners face when coordinating multiple events simultaneously?

Full Time Event Planners often juggle several events at once, requiring strong organizational skills and the ability to prioritize tasks efficiently. Job description

Experience Without Limits
Come shape the future of brand experience.

At Jack Morton, we design and build head-turning, smile-inducing, impact-driving brand experiences that redefine what experiential marketing can achieve. We help our clients unlock the full value of experiences by turning bold ideas into meaningful connections.
That takes a team that's bold, curious, and acts as one. We build on each other's ideas, challenge conventions, and show up for one another every day. Here, you'll do your best work, grow quickly, and partner across clients, disciplines, and global teams to bring new ideas to life.
This is a place where curiosity drives what's next, boldness raises the bar, and every win is shared. Where ownership is expected, egos are left at the door, and the work reflects the passion and talent of the people behind it.
Experience without limits-in your work, your growth, and your impact.
**While you'll be a Jack Morton employee, this role will be uniquely embedded with one of our key financial services clients. Candidates must be based in the NYC area and willing to work in the office at least four days a week.**
The Event Planner is a key member of our event team, supporting the planning and execution of high-profile events for our financial services client. This role is ideal for a highly organized and detail-oriented individual who thrives in fast-paced environments and is eager to grow their expertise in complex event production. The Planner works closely with senior team members and client stakeholders to deliver seamless, high-quality experiences with a strong attention to detail and operational excellence.
Key Responsibilities
  • Event Planning & Execution
    • Support the planning, coordination, and execution of client-hosted events, ensuring smooth operations across all phases
    • Assist in managing event elements including venue research, logistics coordination, vendor communication, and production support.
    • Develop and maintain detailed timelines, run-of-show documents, and task trackers to support successful delivery.
    • Ensure all event components align with brand standards and quality expectations.
    • Provide on-site support for event execution, helping to troubleshoot and ensure a seamless attendee experience.
  • Client & Stakeholder Support
    • Support communication between the agency team and client stakeholders across assigned projects.
    • Participate in status updates and help track progress, action items, and key deliverables.
    • Collaborate with internal teams and external partners to ensure alignment and timely execution.
    • Build an understanding of client objectives and contribute to delivering against those goals.
  • Guest Experience & Hospitality
    • Assist in coordinating guest-facing elements such as registration, communications, and on-site experience.
    • Support execution of ancillary experiences including dinners, receptions, and hospitality moments.
    • Help ensure a polished, detail-oriented experience from arrival through departure.
  • Budget & Vendor Coordination
    • Support budget tracking and reconciliation, ensuring accuracy and organization across project spend.
    • Assist in sourcing vendors, gathering proposals, and coordinating logistics with partners such as venues, catering, and AV.
    • Help manage vendor communications and ensure deliverables are met.
  • Risk & Issue Management
    • Identify potential issues and escalate to senior team members as needed.
    • Support contingency planning and assist with on-site problem solving.

Qualifications & Experience
  • 3-7 years of experience in high-profile event production, preferably within financial services.
  • Exceptional verbal and written communication skills-must be clear, concise, and professional in all interactions.
  • Proven ability to manage complex travel logistics and high-profile guest services with attention to detail and discretion.
  • Strong organizational skills with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Experience working with C-Suite executives or high-net-worth individuals preferred.
  • Proven ability to develop and present high-level reporting to senior leadership.
  • Problem-solving mindset with the ability to remain calm under pressure.
  • Ability to work flexible hours, including evenings, and weekends

Work Structure & Engagement
  • Embedded with the client in their New York office a minimum of four days per week.
  • Full-time position with long-term engagement potential, pending performance and business needs.

Why Join Us?
This role requires a high level of professionalism, discretion, and adaptability. If you are passionate about delivering exceptional experiences and have a proven track record in high-touch attendee logistics, we'd love to hear from you.
