Job description

The Fleet Operations is responsible for supporting and maintaining compliant, organized, and audit-ready fleet operations across all company locations. This role coordinates vehicle maintenance, monitors driver compliance requirements, maintains regulatory documentation, and supports fleet-related operational systems.
This position plays a key role in reducing risk, improving visibility, and supporting operational efficiency.
Essential Duties and Responsibilities:
Fleet Operations & Maintenance
  • Coordinate and schedule fleet maintenance, repairs, and inspections to ensure fleet readiness and minimize downtime
  • Coordination of installation of technologies on fleet.
  • Planning and executing fleet replacements (both delivery trucks and salesperson vehicles)
  • Track fuel usage, mileage, and vehicle utilization to improve efficiency
  • Monitor and support fleet tracking systems and GPS monitoring (Samsara)
  • Maintain accurate vehicle assignment records and documentation for all company vehicles
  • Maintain fleet databases, vehicle logs, registrations, insurance records, and related documentation
  • Track fleet-related invoices and support expense monitoring and budget visibility

Driver Compliance & Safety
  • Maintain and monitor compliance with DOT, OSHA, EPN, vehicle inspections, driver verifications, and related regulatory requirements
  • Fleet Compliance with state and federal regulations for all locations.
  • Maintain and update driver qualification files to ensure documentation remains current and audit-ready
  • Track and document vehicle-related incidents, violations, and accident reporting
  • Support fleet safety initiatives and provide communication and updates to drivers related to compliance requirements

Operational & Documentation Support
  • Ensure fleet-related shipping documentation, including picking and packing tickets, are uploaded and maintained in NetSuite for all locations
  • Support operations with order verification as needed
  • Work with the logistics team to resolve shipping discrepancies, delays, or fulfillment issues as they relate to fleet operations
  • Support the VP of Business Operations and Operations team in ensuring timely completion of fleet-related initiatives

Requirements
Education & Experience:
  • High School diploma or GED required
  • College degree preferred
  • Minimum 2 years of experience in fleet management, transportation, logistics, or related field
  • Experience with DOT, OSHA, EPN, and regulated fleet environments preferred
  • Experience with fleet tracking software and GPS systems (Samsara or similar) preferred
  • Experience working within ERP systems (NetSuite preferred) a plus

Skills & Competencies:
  • Strong organizational and multitasking skills with high attention to detail
  • Working knowledge of DOT, OSHA, and IFTA regulations related to fleet operations
  • Ability to coordinate and track vehicle maintenance requirements
  • Strong verbal and written communication skills
  • Ability to problem solve and manage time effectively in a fast-paced environment
  • Proficiency in fleet management software and business systems
  • Ability to manage fleet-related priorities and respond to operational needs

Work Environment:
This position operates in a dual setting of an office and manufacturing floor. The candidate must be comfortable in both environments and comply with all safety protocols, especially when working in or near the metal shop.
Physical Demands:
The role requires the ability to handle various physical demands, including:
  • Sitting, standing and walking for extended periods.
  • Occasionally lifting and carrying items weighing 25-30 pounds.
  • Climbing stairs or ladders and using office equipment with manual dexterity.
  • Reaching for items in both office and shop environments.
  • Exposure to varying temperatures and noise levels in the metal shop, with the need for personal protective equipment (PPE).
  • Adequate vision and hearing for communication and monitoring activities.
  • Adherence to ergonomic practices and safety protocols.

Compensation:
This position is non-exempt and complies with California's wage and hour laws. Compensation for this role ranges from $22 to $28 per hour, depending on experience and qualifications.
