Job Description

A highly capable and organized Executive Assistant supporting both our Chief Executive Officer and Chief of Staff, helping ensure the CEO Office operates with clarity, efficiency, and strong coordination.

This role sits at the center of the organization, supporting the planning, scheduling, and administrative flow that enables the CEO and Chief of Staff to focus on the company’s most important priorities. You will help manage executive schedules, coordinate leadership activities and events, and ensure information, meetings, and commitments are organized and executed smoothly.

Working closely with the Chief of Staff, the Executive Assistant plays a key role in ensuring the CEO Office operates in a proactive, professional, and well-coordinated manner.

Role Responsibilities

  • Manage complex calendars for the CEO and Chief of Staff, ensuring time is prioritized around key business objectives and leadership commitments.
  • Coordinate internal and external meetings, including scheduling, agendas, preparation of materials, and follow-up actions.
  • Arrange and manage executive travel, itineraries, and related logistics.
  • Ensure the CEO and Chief of Staff are well prepared for meetings through proactive coordination of briefing materials and relevant information.
  • Partner with the Chief of Staff to support the effective operation of the CEO Office, including leadership meetings and executive activities.
  • Coordinate leadership meetings, executive discussions, and company offsites, ensuring logistics and documentation are well organized.
  • Serve as a professional point of contact for internal leaders and external stakeholders interacting with the CEO Office.
  • Manage administrative processes including expense reporting, document management, and maintaining organized executive records.
  • Assist from time to time with facilities coordination and workspace needs.

About You

Highly organized with exceptional attention to detail, you are comfortable managing multiple priorities and complex executive schedules in a fast-paced environment. You operate with professionalism, reliability, and discretion when handling sensitive information, and communicate effectively while coordinating across senior leaders. You bring a proactive, solutions-oriented mindset and maintain a calm, structured approach when managing competing demands.

Qualifications

  • 5+ years supporting senior executives, ideally at C-suite level
  • Bachelors degree preferred
  • Experience managing complex calendars, travel, and executive logistics
  • Strong organizational, communication, and administrative skills
  • High level of professionalism and discretion
  • Experience in a fast-paced or growing organization is advantageous
