Executive Assistant

Full-Time | Primarily Remote with Occasional In Person Meetings 

Hometown Recruiting is partnering with an employer seeking a proactive, highly organized Executive Assistant who enjoys creating order, anticipating needs, and helping a business leader remain focused on clients and organizational growth.

This multifaceted position combines executive support with accounts payable, payroll preparation, compliance tracking, marketing coordination, and operational assistance.

What You’ll DoExecutive and Administrative Support
  • Manage the executive’s calendar, meetings, priorities, and focused work time

  • Organize communication and assist with drafting and proofreading professional correspondence

  • Coordinate occasional travel, meetings, and related logistics

  • Track internal deadlines, follow-up items, and recurring responsibilities

  • Maintain organized administrative systems and confidential records

  • Anticipate needs, identify potential challenges, and take initiative to resolve them

  • Handle sensitive business and financial information with discretion

Accounts Payable and Payroll Support
  • Enter and process vendor invoices accurately and on time

  • Review expense reports and maintain supporting documentation

  • Prepare twice-monthly payment runs for management approval

  • Maintain accurate vendor records

  • Research and resolve invoice discrepancies and vendor questions

  • Gather and verify payroll-related documentation for management review

  • Help ensure financial processes follow established policies and timelines

Compliance Administration
  • Maintain a calendar of state registrations, renewals, filings, and reporting deadlines

  • Prepare and organize documentation required for compliance activities

  • Track submission dates and follow up to help ensure requirements are completed on time

Marketing and Business Development Support

What Will Help You SucceedRequired Experience and Skills
  • At least two years of experience supporting a senior executive, business owner, or organizational leader

  • Experience with accounts payable, bookkeeping, or related accounting responsibilities

  • Familiarity with payroll preparation and supporting documentation

  • Experience managing compliance deadlines, registrations, or regulatory reporting—or the demonstrated ability to learn these processes quickly

  • Proficiency with QuickBooks Online and Microsoft Office, particularly Excel

  • Strong written and verbal communication skills

  • Excellent grammar, proofreading, and information-organizing abilities

  • Exceptional attention to detail and follow-through

  • Ability to manage multiple deadlines and changing priorities

  • Sound judgment when working with confidential information

  • Ability to work independently while collaborating with a small team
