Overview
Navitus Health Solutions is seeking a Sr. Paralegal and Executive Assistant to join our team!
This is an onsite position at least three days in office in our Madison WI location.
The Sr. Paralegal and Executive Assistant will be responsible for both substantive paralegal work and executive level administrative support to the SVP, Chief Legal Officer. Success in this role requires the ability to handle a high volume of work with a sense of urgency and prioritization as well as advanced administrative, communication and organizational skills, handling highly confidential information with integrity, consistently maintaining excellent professional relations, and an understanding of legal actions and operations.
The Sr. Paralegal and Executive Assistant will support the SVP, Chief Legal Officer through managing calendar, scheduling meetings, and coordinating travel arrangements, and handling incoming and outgoing communications, including emails, phone calls, and correspondence. Additionally, this role will manage litigation files and correspondence, draft and manage legal documents and corporate legal records, perform legal research and prepare correspondence under general supervision.

Responsibilities

  • Support SVP, Chief Legal Officer with schedules, communication, filing and document organization, meeting preparation and follow up.
  • Conduct projects and participate in team activities to identify problems and improve work processes and systems.
  • Assist SVP, Chief Legal Officer with document drafting, review, and preparation.
  • Prepare presentations, presentation slides and documents, and presentation support materials.
  • Maintain positive communications and rapport inside and outside the organization.
  • Assist SVP, Chief Legal Officer in ensuring enterprise-wide adherence to policies, procedures, compliance regulations, and other processes.
  • Organize and maintain a central corporate repository of documents and files.
  • Prepare agenda and compile minutes as required for leadership meetings.
  • Independently perform and manage matter intake and administration through resolution, legal research, reviewing and identifying issues in legal matters, resolving questions submitted from business units, interpreting and implementing applicable policies and procedures, and working closely and directly with various business units and counsel in bringing matters to resolution.
  • Conduct legal search on relevant current and emerging laws, statutes and regulations, prepares memorandums of the findings, and create action plans where necessary to mitigate risks.
  • Support and prepare legal documents, such as contracts and correspondence, for review, and approval.
  • File legal documents and correspondence in digital and physical filing systems.
  • Ensure effective indexing and filing of legal documents.
  • Other duties as assigned

Qualifications
What our team expects from you?
  • Bachelor's degree in related field or equivalent work experience required.
  • A paralegal educational certificate or 5+ years of relevant corporate paralegal experience with a governmental agency, law firm, and/or in-house legal department required.
  • 2 years of executive assistant experience required.
  • Experience in a corporate pharmacy, Health Care, or insurance setting preferred.
  • Proven experience with organizational ability to plan work, prioritize assignments, and work with minimal supervision in a fast-paced tech-savvy work environment.
  • Participate in, adhere to, and support compliance program objectives
  • The ability to consistently interact cooperatively and respectfully with other employees
