Job description

Executive Operations Partner (Part-Time | Remote BUT based in Las Vegas, NV)

ANNA, Inc. is seeking a highly organized, exceptionally proactive Executive Operations Partner to work directly with the company's president. This is not a traditional assistant position. It is an opportunity to become a trusted partner responsible for helping keep a fast-moving engineering consulting business—and its founder's professional and personal commitments—running smoothly.

This position is ideal for someone who previously supported demanding attorneys, senior executives, business owners, or C-suite leaders and genuinely enjoys bringing order to complex schedules, competing priorities, and rapidly changing plans.

Hours

Approximately 20 hours per week initially, transitioning to approximately 10–15 hours per week as systems become established.

About the Role

The president of ANNA, Inc. travels frequently, manages multiple engineering consulting projects simultaneously, and requires someone who can anticipate needs, solve problems independently, and make things happen with minimal supervision.

This role combines executive support, operations coordination, travel planning, communications management, and project follow-up.

Although the position is 90% remote, occasional in-person meetings will be beneficial.  I do live in Pahrump, an hour:15 from LAS airport; so, a Pahrump location would be the perfect candidate.  

Responsibilities

  • Manage complex business and personal calendars
  • Coordinate engineering project schedules and client meetings
  • Manage email and prioritize communications
  • Arrange and modify travel, often on short notice
  • Track commitments, deadlines, and follow-up items
  • Prepare correspondence and professional documents
  • Coordinate medical and personal appointments
  • Organize digital files and business records
  • Research information and vendors
  • Use AI tools such as ChatGPT and Claude to improve efficiency and document workflows

Qualifications

The ideal candidate has experience supporting senior executives, attorneys, or business owners and is comfortable operating independently.

Preferred qualifications include:

  • Former legal secretary, executive assistant, executive business partner, or similar role
  • Exceptional organizational skills
  • Outstanding written communication
  • Advanced Microsoft Outlook, Word, Excel, and Office 365 skills
  • Comfortable learning and using AI tools
  • Excellent judgment and discretion
  • Able to manage confidential business and personal information
  • Comfortable with changing priorities and frequent travel coordination
  • Well-traveled, resourceful, and adaptable
