Job description

Executive Operations at Brex

The Executive Operations team is an integral component to company operations, ensuring that our leaders are supported and equipped to be successful and are focused on company goals. As strategic partners, Brex Executive Assistants provide critical support while also contributing to projects that help drive business priorities and strengthen team collaboration.

What you'll do

As the Executive Assistant to the Chief Technology Officer (CTO), you will provide comprehensive, high-leverage support to help drive Brex's engineering strategy and next phase of growth. You will manage the day-to-day operations of their executive office, ensuring seamless communication, strong cross-functional alignment, and operational rigor across engineering.

You will be the steward of their time, managing complex calendars, prioritizing high-impact meetings, coordinating travel and executive engagements, and ensuring follow-through on critical initiatives. You will collaborate closely with engineering leaders and cross-functional partners to keep initiatives moving and ensure the CTO's priorities are reflected across the organization.ย 

In addition to core operational excellence, you will be asked to leverage AI tools to scale your own impact and the CTO's capacity. This goes beyond just synthesizing meeting notes and drafting communications. You should bring excitement and curiosity around AI to automate workflows, support programs, and increase efficiencies across the department.ย ย 

This role requires strong business judgment, exceptional organizational skills, genuine curiosity about technology and AI, comfort with ambiguity, and the ability to manage multiple workstreams with discretion and professionalism.

Where you'll work

This role will be based in our Seattle office. We are a hybrid environment that combines the energy and connections of being in the office with the benefits and flexibility of working from home. We currently require a minimum of three coordinated days in the office per week, Monday, Wednesday and Thursday. As a perk, we also have up to four weeks per year of fully remote work!

Responsibilities

  • Manage and prioritize the CTO's calendar across multiple time zones, including internal and external meetings, interviews, and complex domestic and international travel.
  • Ensure the CTO is strategically prepared for meetings and speaking engagements by coordinating agendas, presentations, materials, and follow-upsย 
  • Partner across the broader EPD organization to support key programs, communications, culture initiatives, organizational operations, planning processes, and strategic initiatives that strengthen alignment, engagement, and execution at scale.
  • Coordinate and facilitate team, leadership, and All Hands meetings, including preparing materials, capturing notes, tracking action items, and driving accountability to ensure alignment and execution.
  • Plan and execute team events, offsites, strategy sessions, and large-scale organizational programs, including company-wide initiatives such as Brex's hackathon, coordinating across stakeholders to drive successful execution and engagement.
  • Partner closely with our HR Business Partner to support engagement initiatives, organizational planning, team effectiveness programs, onboarding efforts, and other people-related initiatives across the EPD organization.
  • Partner with Recruiting to schedule and facilitate executive interview panels.
  • Serve as the on-site point of contact for external partners and candidates, maintaining the highest level of confidentiality and discretion.
  • Maintain high responsiveness and professionalism across all communications, supporting internal and external correspondence with clarity and accuracy.
  • Partner closely with other Executive Assistants and cross-functional partners to support company-wide initiatives while modeling operational excellence and strong cultural leadership.

Requirements

  • 3+ years of administrative experience in a fast-paced environment, ideally supporting technical or engineering leaders, within in the SaaS industry
  • Outstanding organizational, written/verbal communication, and listening skills, plus high attention to detail
  • Strong team-player attitude; needs to work well under pressure and be adaptable in the face of changing priorities
  • Excellent problem-solving, time-management, and prioritization skills
  • High degree of discretion and integrity, especially when taking care of confidential information
  • Demonstrated experience using AI tools to scale personal productivity, draft communications, synthesize information, and automate workflows
  • Genuine curiosity about technology, AI, and how engineering organizations work; comfort operating in a highly technical environment
  • Expert with G-Suite (Google Calendar, Gmail, Google docs, Google sheets, etc.)

Compensation

The expected salary range for this role is $103,960 - $129,950 USD. However, the starting base pay will depend on a number of factors including the candidate's location, skills, experience, market demands, and internal pay parity. Depending on the position offered, equity and other forms of compensation may be provided as part of a total compensation package.
